Job summary

Inforcer is seeking an Office Manager to oversee Tampa office operations and support a fast-growing US team. You’ll coordinate meetings, events, and vendor relations while driving continuous improvement in processes and the employee experience.

You will act as the main point of contact for staff, organize spaces and bookings, and partner with IT, facilities, and regional teams to ensure a smooth and productive workplace.

Qualifications

  • Proven experience as an Office Manager or in facilities management.
  • Based in Tampa and able to work on-site 4 days a week.
  • Excellent written and verbal communication skills.
  • Strong organizational and multitasking abilities.
  • Experience with Microsoft Office and office/project management tools.
  • Experience coordinating both virtual and in-person events.

Responsibilities

  • Identify opportunities to improve office processes, procedures, and employee experience.
  • Organize office-wide meetings, staff events, and partner and customer meetings, including virtual and in-person gatherings.
  • Drive initiatives that increase efficiency, compliance, and consistency across office operations.
  • Regularly review existing practices and recommend improvements where appropriate.
  • Embrace change while constructively challenging processes and decisions when a better approach exists.
  • Act as a key point of contact for employees, helping to create a positive, productive, and inclusive workplace environment.
  • Lead on team social events, end of month celebrations, catering and team events.
  • Support employee engagement, wellbeing, and workplace culture initiatives, working collaboratively with relevant teams.
  • Foster a welcoming environment for employees, visitors, candidates, and external partners. Organise meeting rooms and bookings.
  • Serve as the go-to person for all office-related matters, providing practical solutions and coordinating support where needed.
  • Build effective working relationships with vendors, building management, contractors, and service providers.
  • Take ownership of office-related issues from identification through to resolution.
  • Respond to changing business needs with a flexible and solutions-focused mindset.
  • Remain calm under pressure and effectively manage multiple priorities. Operate with high levels of autonomy.
  • Support onboarding of new employees, including travel booking, setting up workstations, supporting the internal IT team in issuing IT equipment, and ensuring a smooth integration into the office environment.
  • Ensure the office remains safe, functional, professional, and well-maintained.
  • Oversee office services, equipment, supplies, and facilities-related requirements.
  • Conduct regular office inspections and coordinate maintenance or corrective actions as required.
  • Support workplace health and safety initiatives and promote employee awareness and accountability.
  • Collaborate with regional teams to ensure marketing materials, branded items, and event collateral are prepared and available on time.

About the Role

We are seeking a talented and motivated Office Manager to join our team. In this role, you will be responsible for supporting the smooth operations of a rapidly growing US office, as well as social event coordination, and administrative tasks. If this sound like you, we’d love to hear from you.

What you’ll be doing
Office Operations & Continuous Improvement
  • Proactively identify opportunities to improve office processes, procedures, and employee experience.
  • Assist in organizing office-wide meetings, staff events, and partner and customer meetings, including virtual and in-person gatherings
  • Drive initiatives that increase efficiency, compliance, and consistency across office operations.

  • Collaborate with regional teams to ensure marketing materials, branded items (swag), and work with our corporate events team to ensure event collateral are prepared and available on time for all events
  • Manage vendor relationships for office and event supplies, promotional items, and external services

Skills We Need for This Role
  • Proven experience as an Office Manager, Receptionists or Facilities, or in a similar role
  • Ability to be based in a Tampa office 4 days a week
  • Strong organizational and multitasking skills with an eye for detail
  • Excellent written and verbal communication skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook), familiarity with office/ project management systems and tools is highly beneficial
  • Ability to work in a rapidly growing organization and manage multiple priorities
  • You’ll ideally have experience in a tech start up/ scale up
  • Experience coordinating both virtual and in-person events
  • Familiarity with CRM or scheduling software
