Hours: 22 hrs/wk, 11-4pm Mon-Thur and available online Friday.

The Robo Hub is creating a new type of “third place” for families and communities, focused around robotics, AI, and technology. Our spacious and welcoming Cambridge space is centrally located in Cambridge and features free parking. Our programs are loved by kids, parents, and educators, and we have a stellar customer satisfaction record. We’re looking for the right person to help keep our business running smoothly.

About you:

Ideally, you should have:

  • 5+ years of administrative, operations, office management, or similar experience in a consumer-oriented business
  • Excellent organizational and communication skills and a high EQ
  • Experience with vendor management, purchasing/procurement, and expense management
  • Experience managing sensitive information and upholding privacy policies
  • Skilled at influencing others, communicating unpopular decisions clearly, and knowing when to adjust and when to escalate
  • Calm, customer-oriented, solutions-first mindset in a busy environment
  • Tech-savvy and confident using online platforms (we use Google Workspace, ADP, Homebase, HiSawyer) and project management tools
  • Ability to work on-site in Cambridge

Core Responsibilities:

As an Office Manager you will be expected to oversee the administrative functions of the business and provide support with operations, customer interactions, and facilities.

Own and Oversee:

  • Staff records, certifications, background checks, employment and compliance records.
  • Payroll and benefits administration, including paid time off, and employee requests
  • Recruiting efforts, including the management of job descriptions and postings, application review, and applicant tracking.
  • Onboarding of new employees, including system accounts, access, employee equipment (e.g. laptops) and coordination of required training. Oversee offboarding of departing employees, and support transition plans.
  • Company calendars, including the inside/outside events, space and resource availability, partner requests for space usage, and community events. Proactively identify potential conflicts and inform relevant staff.
  • Inventory of company equipment and the sourcing and planning of purchasing.
  • Vendor management for catering, cleaning, and other services.
  • Expense and operations policies and staff manuals, including monitoring the business practices and team compliance with policies

Support Operations and Customer Interactions

  • Monitor the quality of customer interactions across the team and alert the management team to any concerns
  • Monitor the overall condition of the space, especially during transition between programs, and alert appropriate staff of issues
  • Support the Program team with scheduling and Time & Attendance, ensuring all records and schedules are up to date and reviewing clocked hours for variances
  • Support the accounting team as needed
  • Support Program and Marketing teams with the inventory of supplies, ensuring adequate stock
  • Provide customer support with registrations, cancellations, adjustments, credits, and other account requests
  • Field customer requests and redirect to appropriate staff
  • Support incident documentation and ensure timely follow-up
  • Maintain up-to-date emergency contact and medical information for participants
  • Cover front desk as needed

Expect to:

  • Spend at least 20% of your time interfacing with customers
  • Be curious about all aspects of the business
  • Be communicating all the time
