Job description

THE ROLE

Xerxes Global seeks an experienced, proactive Office Manager and Accountant to ensure the smooth operation of our office located in Dublin. The ideal candidate will handle a diverse range of responsibilities, including administrative duties, IT troubleshooting, coordination, and executive support. We are looking for a dedicated professional who can manage daily office operations, anticipate needs, and foster a positive, efficient work environment. This role requires proficiency with technology, including MS Office Suite and basic IT support. Excellent communication skills, a customer service mindset, and problem-solving abilities are essential. This position is key to supporting the company's success and growth.

Responsibilities
  1. Serve as the Point Person for office management duties:
  2. Maintain the office condition and coordinate repairs as needed.
  3. Welcome guests and support visitors.
  4. Purchase and manage office supplies and inventory.
  5. Order office snacks, beverages, meals, and coordinate office events.
  6. Handle outgoing/incoming packages and mail.
  7. Operate and troubleshoot office machines such as photocopiers, scanners, printers, and computers.
  8. Manage shared scheduling for conference rooms.
  9. Collaborate with HR and management to organize office operations and procedures.
  10. Negotiate contracts and prices with vendors and service providers.
  11. Assist in organizing company-wide and office-specific activities, including technical and content support for meetings.
  12. Liaise with facility management.
  13. Maintain calendars for leadership support.
  14. Support onboarding and offboarding of employees.
  15. Provide hardware support, coordinate inventory, repairs, and troubleshooting.
  16. Coordinate shuttle service between the office and Union Station.
