Position Overview

The Division of Family and Community Services seeks an office administrator to manage clerical activities at the Southeast Family and Community Resource Center. Responsibilities include supervising clerical staff, managing customer assistance, and ensuring operational efficiency.

Essential Functions
  1. Monitor clerical staff activities in finance and files.
  2. Supervise the financial unit, maintaining employee records and customer applications.
  3. Follow up on timekeeping.
  4. Respond to inquiries from staff and the public regarding case status.
  5. Stay informed of agency/division changes.
  6. Serve as Office Manager in absence.
  7. Perform other duties as assigned within scope.
Minimum Qualifications

Equivalent to two years of secretarial/business college plus one year of office experience, or high school diploma plus three years of Office Assistant experience, or three years of independent business experience.

Preferred Qualifications
  • One year of supervisory experience, including staff guidance, counseling, training, and approving leave.
  • Effective communication skills, both oral and written.
  • Experience managing deadlines, multi-tasking, and project evaluation.
  • Experience coordinating trainings, meetings, and communications.
  • Proficiency with office procedures and software.
Work Hours and Location

Monday-Friday, 8:30 am - 5 pm, with a 1-hour unpaid lunch. Locations: 11203 S. Ellis Ave., Chicago, IL 60628, and 915 E. 63rd St., Chicago, IL 60637, temporarily until relocation.
