PAVE Academy Charter School is a public charter school in Red Hook, Brooklyn, NY. PAVE provides a K-8 experience that lays the foundation for a productive and choice-filled life. We build our students brick by brick, equipping them with the academic, social, and emotional skills that they need to become critical thinkers, problem solvers, overcomers and leaders in their communities.
PAVE educates 490 Kindergarten – 8th-grade scholars each school year. Across our student population, 82 percent of our students are eligible for the Free and Reduced Lunch Program (FRLP); 17 percent receive special education services, and 10 percent are English Language Learners (ELL).
Opportunity Summary
PAVE Red Hook seeks a Bilingual (English/Spanish) Office Manager to oversee the day-to-day operations of the school’s main office and assist the Operations team in a support capacity. Because this individual functions as the primary contact person for many of the school’s constituents, his or her ability to effectively communicate with students, staff, families, and visitors is imperative. The candidate must be a team player with the ability to manage multiple projects at once. During the school year, the Office Manager will report directly to the Director of Operations and should expect to work from 9:45am - 6:00pm Monday- Thursday, 7:50am-4:10pm on Fridays, and occasionally during additional times as requested. Summer hours will be 8:00am-4:00pm.
How You’ll Contribute
- Manage operations of the school’s main office
- Maintain a neat, organized, clean, professional, and welcoming main office environment
- Serve as the primary point of contact for all visitors- welcome all visitors with smile and warmth
- Manage phones (answer, receive, and place phone calls, take messages, etc.)
- Manage mail (stamp, sign, and distribute received mail, prepare and send outgoing mail, etc.)
- Manage stock of supplies available for staff, placing orders for items as needed
- Manage the copy machines (make copies, receive, distribute, and send faxes, fix paper
jams, request service for the machine as needed, etc.)
- Manage the collection and maintenance of student, personnel, and school information
(receive forms and paperwork, take and track attendance, track missing forms, manage
databases, update contact information, keep records current, enter information into ATS
and other student information systems, etc.)
- Help plan and manage logistics and preparations for school events, field trips, and
activities as needed (make photocopies, set up for special events, make phone calls,
confirm attendance, etc.)
- Support Operations Manager with students’ transportation needs and communicate with families regarding bus requirements and problems; distribute daily dismissal rosters to classrooms
- Troubleshoot late buses by communicating with bus companies and families; monitor late pick-up and late bus students
- Support PAVE’s Executive Director and Manager of HR and Talent with requests as needed
- Open school packages and ensure items are received in PAVE’s procurement platform
- Provide Spanish language interpretation and translation services as needed
- Maintain strict confidentiality of student, staff, and school information
- Other tasks as assigned
What You’ll Bring to the Team
- A strong commitment to PAVE’s mission and vision
- Exceptional written and oral communication skills; Spanish language skills are required
- Excellent organizational and project management skills
- Strong communication skills and desire to build and maintain relationships with PAVE families
- Strong digital literacy, including Google Suite, Microsoft Office, Word, PowerPoint and Excel
- Demonstrated ability to build and maintain relationships with a diverse set of stakeholders
- Strong entrepreneurial spirit with the ability to establish protocols and processes and execute concurrent, deadline-driven projects from beginning to end;
- A thorough and organized approach to the work
- A relentless work ethic, a high degree of patience, and grit to push through difficult challenges
- Strong judgment and decision making
- 2 years of experience in a similar role
- Bachelor’s Degree preferred
