Position Summary
We are seeking a detail-oriented and hands‑on Office Manager to lead and support our office operations team. This is a player‑coach role where you'll supervise a team of approximately five office employees while remaining actively involved in the day‑to‑day workflow. The ideal candidate is organized, accurate, positive, and enjoys developing people while ensuring operational excellence.
Key Responsibilities
- Lead, coach, and support a team of approximately five office staff members.
- Review and proof customer orders for accuracy before processing.
- Ensure orders are routed to the correct manufacturing facility.
- Track orders from submission through completion.
- Process customer orders, invoices, and related paperwork.
- Verify factory invoices for accuracy and resolve discrepancies.
- Support the sales team by ensuring orders are complete and entered correctly.
- Assist in correcting order errors and resolving issues in a positive, solution‑focused manner.
- Maintain organized documentation and accurate records.
- Utilize the company's Traction operating system to help manage workflows and accountability.
- Develop and monitor scorecards for team members to measure performance and drive continuous improvement.
- Lead by example while fostering a respectful, collaborative, and accountable work environment.
Qualifications
- Previous office management, operations, or customer service leadership experience.
- Strong attention to detail and a high level of accuracy.
- Excellent organizational and multitasking skills.
- Comfortable working with numbers, invoicing, and order processing.
- Strong communication and interpersonal skills.
- Positive coaching style with the ability to mentor and develop employees.
- Proficiency with Microsoft Office and business software; experience with Traction or EOS is a plus.
