Job description

Position: Office Admin/Office Manager
Location: Palo Alto, CA
Ideal Start Date: ASAP
Compensation: $80,000 to $110,000 plus profit sharing bonus


About the Role: As the Office Admin/Office Manager, you'll be managing crucial administrative tasks and supporting key leadership. This role offers a unique blend of office management, HR, and accounting responsibilities, ideal for someone with an interest in the construction industry. You'll have the opportunity to grow your career while contributing to a tight-knit team of professionals.


Daily Life: Your day-to-day will involve managing calendars, tracking insurance certificates, assisting with payroll, preparing contracts, and supporting the controller. You'll also maintain the company website, manage IT equipment, coordinate safety programs, and assist with hiring and onboarding processes. This diverse role requires strong organizational skills and the ability to multitask effectively.

Key Responsibilities:

  • Manage company calendar and coordinate events
  • Provide administrative and accounting support
  • Maintain and update company website
  • Manage IT equipment and troubleshoot issues
  • Coordinate job site safety programs
  • Track and manage insurance certificates for subcontractors
  • Assist with hiring and onboarding processes
  • Process employee timecards and payroll information

Ideal Candidate:

  • Proficient in Microsoft Office, especially Excel and Word
  • Experience with construction industry software (e.g., Sage Master Builder, QuickBooks)
  • Bilingual Spanish/English preferred
  • Strong communication and interpersonal skills
  • High attention to detail and problem-solving abilities
  • Adaptable and eager to learn new software and processes
  • Familiarity with construction processes and terminology
  • Ability to manage multiple tasks and priorities effectively
