Job Description

Location: San Jose, CA
Work Schedule: Monday - Friday, 9:00 AM - 5:30 PM
Compensation: $30.00 - $38.00 per hour

Position Summary:
We are seeking a proactive, highly organized Office Manager to support a dynamic, fast-paced onsite office in San Jose. This hands-on role involves managing daily office operations, supporting employee needs, and creating an efficient, welcoming workplace environment. The ideal candidate will be resourceful, solutions-oriented, and thrive in a service-focused setting. This position offers an excellent opportunity to develop operational skills within a collaborative team environment and play a key role in maintaining a high-performing workplace.

Key Responsibilities:

  • Oversee daily office operations to ensure a clean, organized, and productive environment, including managing office supplies, snack and beverage stock, and storage areas.
  • Coordinate shipping, receiving, and logistics for packages and supplies.
  • Maintain and troubleshoot conference rooms, shared spaces, and office equipment.
  • Support onboarding processes by setting up workstations, including desks, monitors, peripherals, badges, and preparing the workspace for new hires.
  • Greet visitors, manage check-in procedures, and handle visitor documentation to ensure a positive first impression.
  • Organize company events, team celebrations, and employee engagement activities to foster a vibrant workplace culture.
  • Partner with property management, vendors, and contractors for building maintenance, repairs, and office improvements.
  • Coordinate with internal IT and external vendors for printer support, conference room technology, and equipment maintenance.
  • Assist with workspace planning and office layout optimization as the organization expands.
  • Support workplace safety and OSHA compliance efforts, including inspections and operational policies.
  • Maintain office security, visitor protocols, and ensure adherence to safety standards and organizational policies.

Required Qualifications:

  • Minimum of 3 years of experience in office management, workplace operations, facilities coordination, or related roles.
  • Proficiency in Microsoft Office Suite, Outlook, Teams, and other collaboration tools.
  • Proven ability to support a fast-paced office environment, preferably within technology, engineering, or operational industries.
