Overview

The Office Manager is a critical connector between warehouse operations, customer stakeholders, and internal administrative functions. This role ensures that the front office runs as a reliable control center for daily execution, enabling accurate documentation, timely billing, and clear communication that directly support on-time, error-free logistics services. Positioned as the administrative and coordination lead for the San Diego facility, the Office Manager oversees office staff and processes, translates operational activity into accurate records and reports, and supports both customer service and warehouse leadership with data, insights, and issue follow-up. Success in this role is measured not only by the smooth functioning of office workflows, but also by the quality of information provided to customers and internal leaders, the stability of billing and documentation controls, and the ability to anticipate issues, elevate appropriately, and drive closure in partnership with the warehouse and customer teams.

Responsibilities
  • 1. Lead daily office operations to support warehouse execution: oversee front-office workflows, assign and monitor work for office staff, ensure coverage for critical administrative tasks, and maintain consistent, accurate processing of orders, documentation, and records that enable reliable warehouse and logistics performance.
  • 2. Serve as the primary administrative interface between customers and warehouse leadership: coordinate service requests, communicate operational updates and priorities, align on scheduling and service-level expectations, and ensure that customer requirements are translated into clear instructions and documentation for internal teams.
  • 3. Maintain high-integrity documentation and billing inputs: supervise the creation, review, and timely submission of customer documentation, billing data, operational records, and reports; implement checks to reduce errors and discrepancies; and ensure compliance with internal controls and customer-specific requirements.
  • 4. Monitor and act on operational performance data: review daily, weekly, and monthly reports and key performance indicators (KPIs), identify trends or anomalies, communicate findings to warehouse and customer stakeholders, and support the design and follow-through of corrective or improvement actions.
  • 5. Coordinate escalation and issue resolution: log and track customer or operational issues, assign and follow up on action items with relevant stakeholders, maintain clear documentation of root causes and resolutions, and ensure timely and professional communication back to customers and internal leaders until issues are fully closed.
Minimum Requirements
  • 1. High school diploma or GED, demonstrating foundational literacy, numeracy, and the ability to manage workplace documentation and communications.
  • 2. At least 3 years of experience in administrative support, office operations, customer service, logistics, or distribution, with direct exposure to structured processes, service-level expectations, and operational documentation.
  • 3. Minimum of 1 year of experience supervising or leading administrative staff, teams, or processes, including responsibility for assigning work, monitoring completion, and maintaining performance or procedural standards.
  • 4. Proficiency in Microsoft Office applications - particularly Excel, Word, and Outlook - sufficient to create and maintain spreadsheets, reports, and written communications, and to manage email and scheduling in a high-activity environment.
  • 5. Demonstrated experience maintaining accurate documentation, reports, billing information, or operational records, including evidence of attention to detail, adherence to process, and the ability to work with numerical and transactional data.
  • 6. Ability to work on-site in San Diego, CA on a full-time schedule, supporting the operating hours and needs of a warehouse and logistics environment, including occasional peak-period workload surges.
Preferred Requirements
  • 1. Associate's or bachelor's degree in Business, Logistics, Supply Chain, Operations Management, or a related field, providing a structured understanding of business processes and operational concepts.
  • 2. Experience working within a third-party logistics (3PL), warehouse, transportation, or distribution environment, with familiarity of how orders, inventory, and transportation activities are coordinated and documented.
  • 3. Hands-on experience with Warehouse Management Systems (WMS), ERP platforms, transportation management tools, or customer portals, including entering, reviewing, and reconciling operational or billing data within these systems.
  • 4. Experience with customer billing, invoicing, chargebacks, credit/debit memos, or account reconciliation, particularly in environments where accuracy, timeliness, and compliance with customer-specific rules are essential.
  • 5. Involvement in reviewing and analyzing operational KPIs (e.g., order accuracy, on-time performance, inventory accuracy) and participating in process improvement, root-cause analysis, or continuous-improvement initiatives.
