We are currently seeking a detail-oriented and proactive Office Manager to oversee the day-to-day administrative operations of our office.
Job Summary
We are seeking an Office Manager to join our team. In this role, you will coordinate all administrative duties and office procedures, ensuring the workplace operates smoothly and efficiently. Your responsibilities will include greeting clients in person/over the phone, scheduling meetings, paying invoices, negotiating with vendors, and maintaining office equipment. The ideal candidate is highly organized with excellent verbal and written communication skills and the ability to implement systems and procedures.
Responsibilities
Greet and receive clients in person or by phone
Maintain calendar of appointments and meetings
Organize and maintain attorney and staff calendars
Coordinate internal meetings and client appointments
Manage client billing and invoicing processes
Oversee trust account transactions and ensure compliance with ethical standards
Track accounts receivable and coordinate payment follow-ups
Collaborate, create, update, and maintain office procedures
Maintain office equipment in good working order
Pay and record invoices
Negotiate contracts and pricing with vendors and service providers
Accurately maintain general office budget
Qualifications
Proven experience as an office manager, legal assistant, or similar role in a law firm
Strong knowledge of legal billing systems and office management tools
Excellent organizational, time management, and communication skills
High school diploma/GED required, some college preferred
Previous experience as an Office Manager or similar position preferred
Understanding of office equipment, systems, and procedures
Skilled in Microsoft Office, Excel, and Outlook
Excellent time management skills and ability to prioritize multiple tasks
Strong problem-solving skills and attention to detail
Excellent verbal and written communication skills
