  • Perform administrative tasks including mail tracking, inquiries, and material preparation for the Chief of Staff; meet deadlines with a hands-on approach.
  • Review incoming correspondences requiring EVP approval and coordinate project-based work.
  • Undertake ad-hoc assignments and confidential projects on behalf of the Chief of Staff; stay organized in a fast-paced environment.

Compensation: $98,781 - $148,172 Grade: ADC005

This position is eligible to Telework 1 day per week as per MTA policy.

Position Summary

This positionis responsible for providing high-level executive and administrative support. The Manager will act as a liaison between the Chief of Staff (COS) and others, both internally and externally. Responsibilities will include conducting research, handling information requests,facilitating the timely response to correspondence and coordinating the EVP's daily schedule.

Responsibilities
  • Streamline, consolidate and coordinate work produced by the departments in order to provide support to the Executive Vice President towards fulfillment of agency-wide goals and vision. Review operating procedures, implement improvements where necessary. Act as a liaison between the Executive Vice President and the executive leadership team. Manage the Chief of Staff's administrative support staff and implement office-wide best practices for executive support.
  • Performs administrative and clerical functions including tracking mail, telephone inquiries and preparation of material for the Chief of Staff. Will be required to successfully complete critical aspects of deliverables with a hands-on approach, including adhering to and managing deadlines.
  • Review incoming correspondences requiring the EVP’s approval/signature. Coordinate project based work.
  • On behalf of the Chief of Staff, undertake other ad-hoc assignments, manage special initiatives and confidential projects simultaneously. Must be organized, highly detailed oriented and composed in a fast-paced business environment.
  • Performs other duties as assigned
  • Complies with all policies and standards
  • May be required to work hours outside regular work hours, as applicable
  • Observes the work performed by contractors, as applicable
  • Reviews invoices and approves them if the work has contractual standards, as applicable
  • Addresses performance issues with the contractor when possible, as applicable
  • Escalates issues to other parties when needed, as applicable
Education and Experience
  • Baccalaureate from an accredited college in Arts/Sciences (BA/BS) or an equivalent combination of education and experience.
  • 10 years of progressively responsible experience providing high-level executive and administrative support.
  • 3 years of experience coordinating complex initiatives, managing competing priorities, supporting senior leadership, and working effectively with internal and external stakeholders.

As an employee of MTA NYC Transit, you may be required to complete an annual financial disclosure statement with the state of New York, if your position earns more than $101,379 (this is subject to change) per year or if the position is designated as a policy maker.

Additional Information

Final salary is determined experience, skillset, and alignment with compensation practices. The posted range reflects expected compensation and may be updated as market or business needs evolve.

To be eligible for consideration for a new role, current MTA employees must complete at least one year of service in their current role prior to applying. Additionally, eligibility to interview is contingent upon maintaining a satisfactory record of job performance, attendance, and disciplinary conduct.
