Job summary

Jackson & Company, based in Houston, TX, seeks an organized Office Manager to act as the operational hub of our office supporting a portfolio of luxury event venues and full-service catering. You will oversee daily administration, manage TripleSeat, and support the sales and events team with polished, professional event details.

Responsibilities include maintaining filing systems, updating leads and bookings, coordinating with vendors, and creating printed event materials.

Qualifications

  • 3+ years of office management or administrative experience, hospitality or events industry preferred.
  • Strong written and verbal communication skills and a professional, client ready demeanor.
  • Bilingual English and Spanish a plus.

Responsibilities

  • Manage day to day office operations, supplies, mail, phones, and general correspondence
  • Administer and maintain TripleSeat, including entering and updating leads, bookings, event details, and client records
  • Manage the lead pipeline, including logging new inquiries, assigning leads to the sales team, and tracking follow up status
  • Maintain organized filing systems, both physical and digital, for contracts, invoices, and business records
  • Create buffet signs, menu cards, place cards, and other printed materials for events
  • Prepare and format documents, proposals, and event paperwork in support of the sales and events team
  • Coordinate with vendors and service providers for office needs and supplies
  • Assist with tastings
  • Assist leadership and the sales team with administrative needs and meeting coordination

POSITION OVERVIEW

We are seeking an organized, dependable, and detail oriented Office Manager to serve as the operational hub of our office, supporting a portfolio of luxury event venues and a full service catering operation. The Office Manager keeps daily administration running smoothly, manages our event management system and lead pipeline, and supports the sales and events team with the details that make every event polished and professional.


RESPONSIBILITIES


  • Manage day to day office operations, supplies, mail, phones, and general correspondence

  • Administer and maintain TripleSeat, including entering and updating leads, bookings, event details, and client records

  • Manage the lead pipeline, including logging new inquiries, assigning leads to the sales team, and tracking follow up status

  • Maintain organized filing systems, both physical and digital, for contracts, invoices, and business records

  • Create buffet signs, menu cards, place cards, and other printed materials for events

  • Prepare and format documents, proposals, and event paperwork in support of the sales and events team

  • Coordinate with vendors and service providers for office needs and supplies

  • Assist with tastings

  • Assist leadership and the sales team with administrative needs and meeting coordination


QUALIFICATIONS


  • 3+ years of office management or administrative experience, hospitality or events industry preferred

  • Experience with event management software (TripleSeat strongly preferred) or a comparable CRM

  • Strong proficiency in Microsoft Office and Google Workspace

  • Experience with Canva or similar tools for creating signs and printed event materials a plus

  • Excellent organizational skills with proven ability to manage multiple priorities and deadlines

  • Strong written and verbal communication skills and a professional, client ready demeanor

  • Bilingual English and Spanish a plus

  • Ability to work on site at our Houston office, with occasional flexibility during peak event periods


COMPENSATION & BENEFITS

Competitive hourly compensation commensurate with experience. Full time schedule, Monday through Friday, with occasional event period flexibility. Opportunity to grow with an expanding portfolio of Houston's premier luxury event venues.
