Job summary

Rocky Mountain Building Solutions is seeking an organized Office Manager to oversee daily administrative, HR, and financial support across four Colorado locations. You will manage payroll and HR functions and assist with accounts payable under the Finance Manager, driving process improvements.

The role requires strong communication, multi-site coordination, and proficiency with Microsoft Office and basic accounting. A minimum 3-year background in office/operations management is preferred.

Qualifications

  • Associate degree preferred in Accounting/Business/Finance or related field.
  • Minimum 3 years in office/operations management or blended HR/administrative role.
  • Experience processing payroll and understanding basic accounting (AP, expenses).
  • Proficiency with Microsoft Office Suite (Excel, Word, Outlook, Teams).
  • Experience using accounting or ERP software.
  • Strong data entry accuracy and attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to maintain confidentiality of sensitive information.
  • Strong organizational, time management and problem-solving skills.
  • Ability to manage multiple priorities in a fast-paced environment.

Responsibilities

  • Payroll administration: end-to-end processing with accuracy and compliance.
  • HR oversight: onboarding/offboarding, confidential files, PTO tracking, benefits support.
  • Compliance: ensure policies are applied across locations.
  • Multi-location supply management: centralize ordering, inventory, distribution for four locations.
  • Draft internal communications, newsletters, and policy updates.
  • Lead special projects: office moves, events, software migrations, process improvements.
  • Provide administrative support to GM and ownership.
  • Manage calendars, meetings, and scheduling for company-wide activities.
  • Prepare correspondence, presentations, reports, and meeting materials.
  • Coordinate confidential communications and sensitive business information.
  • Support research, reporting, and project coordination.
  • Oversee data analysis and vendor engagement projects.

Position Summary

Rocky Mountain Building Solutions is seeking a detail-oriented, highly organized, professional Office Manager to oversee daily administrative, HR, and financial support operations across our four company locations. In this role, you will serve as the operational backbone of our company. You will directly manage payroll and HR functions, drive widespread administrative initiatives, and act as a critical partner to our Finance Manager by assisting with accounts payable and expense management. The ideal candidate thrives in a multi-site environment, balances routine tasks with dynamic special projects, and possesses exceptional communication skills.

Key Responsibilities
Payroll & Human Resources
  • Payroll Administration: Execute end-to-end processing of regular payroll, ensuring accuracy in hours worked, deductions, bonuses, and compliance with local, state, and federal regulations.
  • HR Oversight: Manage employee onboarding and offboarding, maintain confidential personnel files, track paid time off (PTO), and assist with benefits administration.
  • Compliance & Policy: Serve as the primary point of contact for internal HR inquiries and ensure company policies are consistently applied across all locations.
Administrative Support
  • Multi-Location Supply Management: Centralize and streamline the ordering, inventory tracking, and distribution of office supplies, technology, and equipment for all four distinct locations.
  • Company Communications: Draft and distribute clear, engaging internal announcements, newsletters, and policy updates to maintain alignment across all offices.
  • Special Projects: Lead and execute ad-hoc operational projects, such as office moves, company events, software migrations, or process improvement initiatives.
  • Provide direct administrative support to the General Manager and Company Ownership.
  • Manage calendars, meetings, and scheduling requests for company-wide activities.
  • Prepare correspondence, presentations, reports, and meeting materials.
  • Assist with confidential communications and sensitive business information.
  • Coordinate company events, leadership meetings, and special projects.
  • Support management with research, reporting, and project coordination.
  • Perform special project duties overseeing company initiatives associated with data analysis, business expansion, vendor engagement, team training, and company engagements.
Financial Support & Expense Management
  • Accounts Payable (AP): Review, verify, and code vendor invoices; collaborate with the Finance Manager to ensure timely and accurate payments.
  • Credit Card & Expense Tracking: Oversee company credit card reconciliation, collect employee receipts, and audit expense reports to ensure alignment with company policy.
  • Financial Reporting: Assist in preparing regular financial reports, gathering documentation, and compiling data for the Finance Manager and executive team.
  • Provide administrative support for collections and account follow-up activities as directed.
Qualifications
Required
  • Associate degree in Accounting, Business Administration, Finance, or related field preferred.
  • Minimum 3 years of experience in office management, operations management, or a blended HR/administrative role.
  • Proven experience processing payroll and a strong foundational understanding of basic accounting principles (AP, expense tracking, financial documentation).
  • Proficiency with Microsoft Office Suite, including Excel, Word, Outlook, and Teams.
  • Experience using accounting or ERP software.
  • Strong data entry accuracy and attention to detail.
  • Excellent written and verbal communication skills.
  • Ability to maintain confidentiality and handle sensitive information.
  • Strong organizational, time management, and problem-solving skills.
  • Ability to manage multiple priorities in a fast-paced environment.

Preferred
  • Proficiency with QuickBooks accounting software.
  • Knowledge of accounting principles and general ledger coding.

  • Bilingual (English/Spanish) a plus.
Work Schedule
  • Full-time, M – F, 8 AM – 5 PM
  • Flexibility to support operations as business needs require
Benefits & Compensation
  • $45,000 - $70,000 base salary, commensurate with experience
