Position: Office Manager - (RTP20250505-012)

Description
  • Perform secretarial functions for the Principal, including generating communications for approval and signature.
  • Coordinate and maintain the Principal's and school-wide calendars.
  • Manage district-level information for the principal, such as weekly bulletins, events, training, meetings, and deadlines.
  • Coordinate schedules and work assignments for the Principal’s clerk and other office staff.
  • Attend all required administrative meetings and trainings.
  • Maintain adequate office supplies and materials proactively.
  • Serve as the main contact for staff, substitutes, students, parents, and community regarding campus operations.
  • Use attendance reports to monitor and maintain staff attendance records and reconcile monthly, bi-weekly, and supplemental records.
  • Manage supplemental pay activities, including creating codes, reviewing reports, and reconciling time cards, ensuring proper documentation.
  • Ensure compliance with all supplemental pay policies and procedures.
  • Utilize Budget Manager Reports to monitor and adjust line item accounts.
  • Maintain budgets to ensure proper funding and alignment with the Campus Action Plan.
  • Manage requisitions and reconciliation processes, including generating requisitions, verifying funding, maintaining supporting documents, receiving materials/services, and monitoring payments.
  • Maintain documents related to grant expenditures, including materials, contracts, events, field trips, and personnel utilization.
  • Perform other duties as assigned by the Principal.
  • Maintain regular and punctual attendance at the worksite.

Work Environment:
The noise level is usually moderate. Travel within the district is required. Remote work is not an option for campus-based roles due to the necessity of regular attendance and performing duties onsite.

Qualifications
  • High School Diploma with three years of related clerical/secretarial experience or an Associate’s Degree in a business-related field.
  • Knowledge of district organization, operations, and policies.
  • Proficiency in Windows and Microsoft Office applications.
  • Flexibility to adapt to changing circumstances.
  • Willingness to stay current with professional developments.

Physical Demands:
The employee must regularly sit, communicate verbally and electronically, stand, move, use hands, reach, stoop, kneel, crouch, crawl, climb, balance, and drive. Occasionally lift or exert force up to 10 pounds. Vision requirements include close, distance, color, and focused vision. Extended and irregular hours may be required.
