Job description

We are currently looking to fill an Office Manager position. The Office Manager provides general administrative support to Industrial Operations & Product Supply (IOPS) Vice President(s) and is the central point of contact for all office related matters for the Site/Line of Business (LOB).

As an Office Manager, a typical day might include the following:

Senior Leader Support

  • Arrange national and international travel for VP(s), including booking accommodations and transportation.
  • Manage and process expense reports to ensure compliance and efficiency.

Site & Line Of Business (LOB) Support

Site Support: ensure smooth operations and effective communication within the site, supporting leadership and organizational activities.

  • Manage and ensure the availability of necessary supplies for leadership areas, maintaining an organized and efficient work environment.
  • Assist in coordinating and facilitating tours and audits, ensuring compliance with company standards and providing necessary logistical support.
  • Serve as the primary point of contact for IT and conference room arrangements for large meetings, ensuring all technical and logistical needs are met.
  • Maintain and update distribution lists for effective communication within the site, ensuring accurate and timely information dissemination.
  • Collaborate with the employee events/engagement team to support and coordinate site events, ensuring alignment with organizational goals and successful execution.

Line of Business (LOB) Support: these responsibilities emphasize effective coordination and communication within the line of business, supporting leadership and management activities.

  • Coordinate and support leadership meetings, ensuring all logistical aspects are handled efficiently, including scheduling, agenda preparation, taking notes, and follow-up actions.
  • Organize and facilitate manager meetings, providing necessary support for scheduling, communication, and documentation to ensure productive outcomes.
  • Manage and maintain distribution lists specific to the line of business, ensuring accurate and timely communication across teams and departments.
  • Plan and coordinate offsite meetings for the line of business, handling all logistical details such as venue selection, travel arrangements, and on-site support to ensure successful events.

Departmental Support

  • Oversee the annual ordering of promotional materials and swag for the department.
  • Organize and manage department-wide town hall meetings.
  • Plan and execute department-wide parties/team-building activities.
  • Coordinate retirement celebrations for senior leaders.
  • Maintain and update distribution lists for department-wide communications.
  • Provides administrative assistance as needed (examples include word processing, creating PowerPoint presentations, creating Excel spreadsheets, manipulating picture files, electronic filing, scanning hardcopy documents, creating folder structures, creating, and maintaining databases, etc.)
  • Other administrative duties & projects as required.

To be considered for the Office Manager you must have an Associates degree in a related field with 8 years of relevant experience. BS/BA degree is preferred.
