Job description

Chicago, United States

We're hiring an Office & Workplace Experience Manager to own how our Chicago office looks, runs and feels. You'll be the first point of contact for everything workplace-related, from vendors and facilities to events and day-to-day operations.

We're moving into a newly built-out office at 70 W Madison, and we want it to be a space people are proud to work in and visitors remember. This role is ideal for a highly organized operator with genuine design sense, someone who notices when a plant is wilting or a conference room is out of place, and fixes it before anyone else does.

You'll have an annual discretionary budget for decor and workplace improvements, and real ownership over how it's spent.

What you'll do

Workplace design and presentation

  • Curate and maintain the office's look: furniture, artwork, plants, lighting and seasonal decor
  • Keep the space client- and candidate-ready everyday, with special attention to reception, conference rooms and common areas
  • Manage the annual decor and workplace-improvement budget, recommending and executing upgrades

Office operations

  • Oversee daily upkeep: cleaning standards, kitchen and pantry, snacks, beverages and office supplies
  • Maintain inventory, place orders and track spending against budget
  • Create and maintain office policies, procedures and a workplace guide for employees

Facilities and building management

  • Serve as the primary contact with building management at 70 W Madison
  • Coordinate repairs, maintenance and service requests, and follow them through to completion
  • Administer access badges, keys and visitor management
  • Support health, safety and emergency procedures, including fire-warden coordination
  • Source, negotiate with and manage vendors, including cleaning, maintenance, furniture, catering and plant care
  • Track contracts, renewals and invoices, and hold vendors to service standards

Employee experience and events

  • Plan catered lunches, team celebrations, holiday parties and office events
  • Welcome new hires with a smooth first-day setup (desk, badge, supplies)
  • Gather employee feedback and continually improve the office experience
