Job summary

Shenandoah National Park Trust in Charlottesville, VA seeks a part-time Office Manager to oversee payroll, HR, benefits, finance, and general office operations. The role supports the Director of Projects and Programs and coordinates with vendors, IT, and the office landlord.

25 hours/week, in-office, with a collaborative team environment. Ideal candidate is detail-oriented, self-motivated, and able to prioritize competing tasks.

Qualifications

  • 1–3 years combination of education and/or experience in administrative roles.
  • Experience in payroll, office coordination, HR, or related environment.
  • Ability to own responsibilities and manage multiple priorities.
  • Proficient with standard Office 365 software and Planner.

Responsibilities

  • Assist with HR tasks, onboarding and offboarding.

The Shenandoah National Park Trust is dedicated to preserving and enhancing the natural, cultural, and historic resources of Shenandoah National Park. Our goal is to connect communities to this remarkable landscape, fostering a deep sense of stewardship to ensure the park thrives for generations to come.

The Trust is seeking a self-motivated and highly organized professional who is passionate about public lands and interested in managing the business side of nonprofit work. As Office Manager, you will oversee day-to-day office operations, manage aspects of human resources, and finance. This is a part-time position (25 hours/week) based in Charlottesville, VA.

The ideal candidate is a service-oriented team player who enjoys working with others, takes ownership of responsibilities, and is willing to pitch in across a variety of tasks. This person should be self-motivated, highly organized, attentive to detail, and capable of prioritizing competing demands.

Job Duties
Human Resources & Payroll
  • Run payroll, ensuring accurate salary adjustments and correct medical, HSA, and retirement deductions and employer contributions; provide payees with W-9 forms; process 1099s at year-end.
  • Assist with the Administration of employee benefits and retirement plans (health insurance, HSA, 401(k)), including vendor/provider relationships, deduction
  • Manage the compliance filings (Form 5500, Section 125), audits, and mini-COBRA
  • Coordinate with the Executive Director on annual renewals of health insurance and other benefits.
  • Assist with new employee onboarding and offboarding
Finance
  • Review credit card and expense transactions in a timely manner
  • Set up new vendors for AP in Bill.com or coordinate manual payments with a contract accountant.
  • Liaise with external financial consultants, keeping them updated on new contracts, new expenses codes needed, funding or grant restrictions, etc.
  • Support preparation of schedules and open items for the annual independent audit.
Office & Vendor Management
  • Proactively identify and implement opportunities to improve office operations, processes, and overall workplace experience.
  • Manage all office vendor relationships, including coordinating with the IT consultant to ensure office systems run smoothly; maintain technology inventory.
  • Maintain the relationship with the office landlord and building manager; oversee both physical office space.
  • Monitor office and kitchen supplies, anticipate needs, and maintain appropriate inventory.
  • Maintain merchandise inventory.
  • Check mail daily, and complete check log.
Team Support
  • Provide Administrative support to the Director of Projects and Programs with project invoicing, purchases, receipting, and payments.
  • Assist with office-wide meetings and team celebrations, including ordering food and coordinating logistics; manage staff birthday and work anniversary cards/gifts.
General Support
  • Manage theinfo@snptrust.orgemail inbox.
  • Assist with gift entry and acknowledgement letter process, as needed.
  • Other duties as assigned.
Skills Required
  • Qualifications:
  • 1–3 years combination of education and/or experience.
  • Prior experience in an administrative, payroll, office coordination, customer service, or related professional environment
  • Demonstrated ability to take ownership of responsibilities and manage multiple priorities
  • Proficient using standard office 365 software, including planner.
  • Self-motivated, proactive, collegial, collaborative, and willing to respectfully give and receive feedback.
  • Extremely attentive to details with strong organizational skills and the ability to prioritize multiple requests and projects.
Work Schedule

Location: This position is in person at our Charlottesville HQ office.
