Job summary

MEK MD INC. is seeking an experienced Office Manager to oversee the day-to-day operations of an outpatient sleep medicine practice and sleep laboratory in Hawaii.

You will work closely with the Medical Director, providers, and staff to ensure efficient clinical and administrative operations and high-quality patient care. The role focuses on developing workflows, implementing policies, coordinating staffing, monitoring performance, and ensuring accreditation and regulatory compliance with AASM

Qualifications

  • Bachelor's degree required, preferably in Business Administration, Healthcare Administration, Health Services Administration, or related field.
  • Master's degree preferred.
  • Four+ years in healthcare or ambulatory operations with leadership experience.
  • Experience in sleep medicine or sleep lab operations is strongly preferred.
  • Familiarity with accreditation and regulatory requirements.
  • Experience in HR processes, staffing, credentialing.
  • Proficiency with EMR systems and Microsoft Office.

Responsibilities

  • Oversee day-to-day operations of the clinical office and sleep laboratory.
  • Patient records management.
  • Manage correspondence and administrative communications with insurance companies, including prior authorizations for diagnostic testing, durable medical equipment (DME), and medications.
  • Work closely with the Medical Director and clinical leadership to develop, implement, and maintain effective clinical and administrative policies and procedures.
  • Monitor and evaluate clinic operations, productivity, patient satisfaction, and other key performance indicators; analyze data and identify opportunities for improvement.
  • Support human resources functions, including recruitment, staffing, onboarding, employee scheduling, performance evaluations, credentialing, and other personnel-related processes.
  • Ensure clinical and administrative operations comply with applicable regulatory, accreditation, and organizational requirements, including standards related to the American Academy of Sleep Medicine (AASM) and The Joint Commission, as applicable.
  • Identify operational challenges and implement solutions to improve efficiency, quality, communication, and patient experience.
  • Serve as a key liaison among the Medical Director, providers, clinical staff, administrative staff, patients, and external organizations.
  • Assist with additional administrative and operational responsibilities as needed to support the continued growth and success of the practice.

Job Description

We are seeking an experienced and highly organized Office Manager to oversee the day-to-day operations of an outpatient sleep medicine practice and sleep laboratory. This position will work closely with the Medical Director, medical providers, and clinical staff to ensure efficient clinical and administrative operations, regulatory compliance, and high-quality patient care.

The Office Manager will play a key leadership role in developing and optimizing workflows, implementing policies and procedures, coordinating staffing and scheduling, monitoring operational performance, and ensuring that the practice meets applicable accreditation and regulatory requirements.

Qualifications
  • High school diploma/GED required.
  • Bachelor’s degree required, preferably in Business Administration, Healthcare Administration, Health Services Administration, or a related field.
  • Master’s degree in business administration, Healthcare Administration, Health Services Administration, or a related field preferred.
  • Minimum of four (4) years of experience in healthcare or ambulatory operations, including at least two (2) years of supervisory or leadership experience in a healthcare, medical office, clinical, or related setting.
  • Experience working in sleep medicine or managing sleep laboratory operations is strongly preferred.
  • Experience with healthcare accreditation and regulatory requirements.
  • Experience with staffing, recruitment, employee scheduling, performance management, credentialing, and HR-related processes.
  • Working knowledge of electronic medical records (EMR) systems.
  • Proficiency with Microsoft Office, including Word, Excel, and Outlook.
  • Strong organizational, communication, problem-solving, and leadership skills.
