Job summary

Cognition, an applied AI lab building end-to-end software agents, is hiring a Workplace & Engagement Coordinator to support our office, create a warm, welcoming experience, and keep the space running smoothly as the team grows. This hands-on role blends logistics, hospitality, and operations.

Youll greet employees and guests, coordinate meals, manage mail and deliveries, and collaborate with the Employee Experience team to onboard new hires.

Qualifications

• Professional, friendly presence with strong communication skills.
• Comfortable in a highly visible, customer-facing role.
• Organized and detail-oriented, with strong follow-through.
• Able to balance structure with flexibility in a fast-moving environment.
• Comfortable lifting up to 35 lbs and being on your feet throughout the day.
• Experience in front desk, office coordination, hospitality, or rapid-growth companies is a plus.
• Creativity and interest in employee events is also a plus.

Responsibilities

• Be the face of the office and greet employees, candidates, and guests with professionalism and warmth.
• Coordinate with building security to ensure a smooth, secure arrival experience.
• Support recruiting by welcoming candidates and helping interviews run on time.
• Manage incoming and outgoing mail, packages, and deliveries throughout the day.
• Coordinate and communicate meal orders for employees as needed.
• Assist office services teams (custodial, culinary, vendors) as needed.
• Help troubleshoot day-to-day issues and elevate when appropriate.
• Partner closely with the Employee Experience team on onboarding processes.
• Stock and coordinate distribution of office supplies and swag for employees and guests.
• Coordinate client meetings, interviews, and team offsites for employees across our team.
• Assist in planning office events and activities to keep morale high.
• Notice what's working and what isn't in the office environment.
• Pitch in during busy moments, events, and high-traffic days.
• Help create a calm, welcoming, and reliable experience for everyone in the space (and eventually know all employees by first name!).
