Job summary

PMCS Group, Inc. is seeking an Office Engineer to join our Seattle team. The role focuses on managing project documents, coordinating submittals, RFIs, and design submittals, and ensuring timely distribution to contractors.

The candidate will maintain document control systems, prepare logs and reports, and support project meetings with accurate agendas and minutes. A civil engineering or related degree and 5 years of experience are required.

  • Support QC, as-builts, closeout docs and final deliveries.

OFFICE ENIGNEER

WORK LOCATION: SEATTLE, WA

Minimum Requirements
  • A bachelor's degree in civil engineering, Construction Management, or a related field
  • 5 years of relevant experiences
Duties
  • Manage all documents associated with the project's activities, including uploading documents to a SharePoint-based content management application, managing the document control system, and managing document revisions.
  • Maintain project files and document/submittal management systems in both hard and electronic copies; work with contractors to ensure drawings are posted efficiently and in a timely manner.
  • Review, track, process, and distribute submittals, RFIs, RFCs, design submittals, shop drawings, product data, and work plans; review submittals and other construction documents for completeness and accuracy.
  • Distribute documents, submittals, and RFIs for review; track and compile responses and review comments; obtain management approval and issue responses to contractors.
  • Maintain a list of submittals, deliverables, and other construction documents; report on the progress of submittal, RFI, and design submittal reviews at progress meetings.
  • Manage workflows and coordinate responses to contractor Requests for Change (RFC), Requests for Information (RFI), shop drawing submittals, and contractor work plans.
  • Assist with change order documentation and compilation; write and distribute RFIs, correspondence, meeting minutes, procurement requests, and all replies.
  • Develop and maintain spreadsheets; update and utilize Primavera Contract Management Software.
  • Prepare a submittal log in accordance with the project schedule and specifications; monitor and expedite submittals in accordance with the submittal log and project requirements; maintain and update status reports as required.
  • Attend progress, safety, site coordination, and ad hoc meetings; attend and document project meetings including writing agendas and minutes; oversee general correspondence as required.
  • Track project correspondence.
  • Support quality control activities, verify as-builts, execute the equipment receiving process, and manage closeout documentation.
  • In conjunction with Construction Administrators, obtain all closeout materials from subcontractors and suppliers including guarantees and warranties, as-builts, final pay applications, lien releases, Operations and Maintenance Manuals, and coordinate owner training of equipment.
  • Communicate and collaborate with the project's inspectors, client construction manager, client project manager, and Department of Transportation Construction, Transit Design, and program management teams; exceptional organizational and communication skills are required.
  • Manipulate electronic files of various formats to create exhibits for presentations and meetings; complete other responsibilities to support the project such as expediting functions and preparing and maintaining an expediting log.
  • Maintain proficiency with industry-standard document control software such as EDMS, CMS, Unifier, and ProjectWise for document control, RFI, and submittal management, as well as Microsoft Office Suite/Office 365.
