Job summary

The State of Wisconsin, Department of Military Affairs (DMA) is hiring an Office Coordinator (Operations Program Associate) for Volk Field Combat Readiness Training Center in Camp Douglas, WI. This role supports CE leadership, manages the CE Operations desk, and administers iEMS while handling purchases and travel vouchers.

Starting pay is $25.04 per hour with a 12-month probation. Some flexible scheduling and strong benefits are offered to qualified applicants.

  • Process basic purchase orders, travel vouchers, and general service billing.
  • Provide administrative support to the Civil Engineering Director and CE Operations staff.
  • Maintain records in compliance with state and federal rules and Volk Field guidelines.

The State of Wisconsin, Department of Military Affairs (DMA) is hiring an Office Coordinator (Operations Program Associate). This position is located at Volk Field Combat Readiness Training Center (CRTC) within the Civil Engineering Directorate, in Camp Douglas WI.

Volk Field is one of only four Air National Guard Combat Readiness Training Centers in the nation, and the only one that does not share its airfield with a civilian airport. The Training Center Mission is to provide a year-round integrated training environment (airspace, facilities, equipment) for units to enhance their combat capabilities and readiness.

Under general supervision of the Production Control NCOIC (Non-Commissioned Officer in Charge), this position provides complex administrative and program support for the Civil Engineering (CE) Directorate. Serves as the primary point of contact for the CE Operations customer service desk, managing work orders and coordinating facility maintenance. Serves as the System Administrator for the Integrated Engineering Management System (iEMS). Processes basic purchase orders, travel vouchers, and general service billing. Provides administrative support to the Civil Engineering Director and CE Operations staff and assists with general information tracking and general office management. Maintains records in compliance with state, federal, United States Property and Fiscal Office (USPFO), and Volk Field administrative rules.

Salary Information

Starting pay is $25.04.

This position is in the 02/11 pay schedule/range.A 12-month probation will be required.

For current permanent state employees, pay will be set in accordance with the State Compensation Plan.

In order to gain access to the military facilities and to determine whether the circumstances of any conviction may be related to the job being filled, DMA will conduct a comprehensive background check.

In addition, the position requires a Common Access Card (CAC). A CAC requires successful completion of a Department of Defense investigation which is an additional more in-depth federal background check, for gaining access to federal computer systems, restricted locations, or classified information.

The Department of Military Affairs does not sponsor work visas at the time of hire or anytime during employment. All persons hired will be required to verify identity and eligibility to work in the United States and complete the required Employment Eligibility Form I-9.

This is a State of Wisconsin Civil Service position. The DMA does not require current or previous military experience.

All new permanent, project, and limited term employees will be required to report to Joint Force Headquarters (JFHQ) in Madison on the Monday of their first week of employment for the New Employee Orientation (NEO) program. Additional information will be sent to the new employees and their supervisors on the Tuesday prior to NEO.

Qualifications

Candidates who meet minimum qualifications will have experience with:

  • Providing complex administrative support for a work unit or senior-level leadership.
  • Use of Microsoft Office Suite and/or other software (Word, Excel, PowerPoint, Outlook, Goggle Docs, Etc.)
  • Providing customer service (e.g., providing instructions, answering questions, problem solving, etc.) in a professional or business setting

In addition to the minimum qualifications, well-qualified candidates will also have the following preferred qualifications:

  • Performing database administration or user account management.
  • Processing purchasing requisitions or managing corporate travel and/or expense vouchers.
  • Work in a Civil Engineering shop.
