  • Receive and distribute all incoming/outgoing mail and packages; prepare items for shipment and update shipping system.
  • Answer and direct incoming calls with outstanding customer service.
  • Perform general administrative tasks including filing, copying, and forms.
  • Manage office supplies, kitchen and conference room maintenance daily.
  • Oversee key/badge distribution and fleet vehicle coordination.
  • Support for special projects and cross-departmental events as needed.

Job Summary

Seeking a personable, organized and proactive Office Coordinator to be the frontline presence of the office. This highly visible role is ideal for someone who enjoys creating a welcoming experience for employees and visitors while keeping daily office operations running smoothly. You will work in a professional environment where your contributions make a meaningful impact every day.

Responsibilities
  • Welcome employees, clients and visitors, creating a warm and professional first impression. Facilitate registration for onsite process.
  • Receive and distribute all incoming/outgoing mail and packages. Prepare items for shipment and ensure all communication are updated and maintained in our system for shipping.
  • Answer and direct incoming calls while providing outstanding customer service.
  • Perform general administrative/office duties including, but not limited to, filing, copy, completing forms, preparing other correspondence as needed.
  • Manage office supplies, kitchen and conference room maintenance on a daily basis.
  • Oversee key/badge distribution, assign fleet vehicles as needed and coordination of pickup.
  • Provide support for special projects and cross-departmental events as needed.
  • Perform other duties as assigned.
Knowledge, Skills & Abilities
  • Basic knowledge of computer programs including but not limited to Microsoft Word, Excel, Outlook, PowerPoint, Access, Internet
  • Knowledge of office practices
  • 10-key skills
  • Excellent oral and written communication skills
  • Ability to carry out basic instructions in written and verbal form
  • Ability to work independently on assigned tasks as well as to accept direction on given assignments
  • Ability to operate a multi-line telephone system
  • Ability to multi-task
  • Ability to prioritize and resolve problems
  • Ability to occasionally lift and carry up to 50 lbs.
Education & Experience
  • 2-3 years of related office administrative experience
Certifications & Licenses
  • Current Notary Public certification would be a plus.
Compensation
Total Rewards Package
  • $19.30-$24.34 per hour, based on specific compensable factors including, but not limited to education, work experience, and geographic market.
  • Bonus: This role will be eligible for participation in a discretionary annual bonus program, pursuant to which an employee may be awarded a percentage of their salary based on the company’s performance and their own individual performance.
  • This position is Support level 1 in our career framework.
