Office Coordinator

In this role, you will:
- Welcome employees, clients, and visitors and coordinate the onsite registration process.
- Answer and route incoming calls and provide helpful, professional support.
- Receive, prepare, distribute, and coordinate incoming and outgoing mail, packages, and shipments.
- Maintain accurate shipping records and information in applicable systems.
- Provide administrative support, including filing, copying, completing forms, preparing correspondence, and maintaining records.
- Coordinate office supplies and help maintain shared spaces, including kitchens and conference rooms.
- Manage key and badge distribution and coordinate fleet vehicle assignments and pickups.
- Partner with teams across Viega to support meetings, events, special projects, and workplace initiatives.
- Help resolve day-to-day office needs and support additional administrative responsibilities as needed.
What You Bring
- Experience in office administration, workplace coordination, customer service, reception, or a related area.
- Strong organizational skills with attention to detail and follow-through.
- Clear verbal and written communication skills.
- A service-focused approach to supporting employees, visitors, and external partners.
- Experience managing multiple priorities and adapting to changing workplace needs.
- Comfortable working independently and collaborating across teams.
- Knowledge of general office practices and administrative processes.
- Proficiency with Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.
- Familiarity with office technology, phone systems, shipping processes, and workplace tools.
- Sound judgment and problem-solving skills when responding to routine office needs.
- Ability to occasionally lift and carry up to 50 pounds, with reasonable accommodation where applicable.
- Current Notary Public certification preferred.
Total Rewards Package
Compensation
- $19.30-$24.34 per hour, based on specific compensable factors including, but not limited to education, work experience, and geographic market.
- Bonus: This role will be eligible for participation in a discretionary annual bonus program, pursuant to which an employee may be awarded a percentage of their salary based on the company’s performance and their own individual performance.
- This position is Support level 1 in our career framework.
