Job summary

The University of Wyoming is seeking an Office Associate, Senior to provide high-level administrative support to the Institutional Advancement & UWFoundation. You will manage calendars, donor activity, and complex reporting while coordinating travel and events for senior development officers.

This role requires independent judgment, strong communication, and the ability to coordinate multiple complex tasks across departments.

Qualifications

  • Associate's degree or equivalent combination of education and experience.
  • 1 year progressively responsible work-related experience.
  • Valid driver’s license with a motor vehicle record compliant with Driving for University Business SAP.

Responsibilities

  • Manage development officers' schedules and donor engagement itineraries and support event planning.
  • Process accounts payable and reconcile corporate card transactions.
  • Coordinate travel for donor visits, including lodging and itineraries.
  • Draft, edit and finalize a range of documents including fund agreements.
  • Assist with large donor events on and off campus and support administrative team.
  • Perform data entry, generate complex reports, and navigate software platforms/databases.
  • Track/reconcile receipts and invoices.

JOB TITLE:

Office Associate, Senior - Institutional Advancement & UWFoundation

JOB PURPOSE:

Serve as the first point of contact for the UW Foundation whileproviding high-level administrative support to multiple directors.Under limited supervision, lead projects and support theoperational, financial, and strategic planning activities of alarge and complex unit. This role requires strong independentjudgment, excellent service orientation, and well-developedmanagement and interpersonal skills. Independently manage andcoordinate complex administrative functions that significantlyinfluence both internal operations and externalrelationships.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Manage development officers' schedules by maintainingcalendars, preparing donor engagement itineraries, entering donoractivity reports, and supporting event planning and execution toensure seamless daily operations.
  • Perform accounting tasks, including processing accounts payableand reconciling corporate card transactions to maintain accuratefinancial records.
  • Coordinate travel arrangements for donor visits andconferences, including booking transportation and lodging,completing required travel documentation, and preparing itinerariesand donor materials.
  • Draft, edit, and finalize a variety of written materials,ranging from routine correspondence to complex documents such asfund agreements.
  • Assist with large donor events held on and off campus. Ordervarious supplies for the department. Provide training and /orbackup for administrative team members.
  • Perform data entry, generate complex reports, and proficientlynavigate various software platforms and databases. Maintaininventory and oversee supply ordering for the department.Communicate with donors and corporate contacts in person, by phone,and via email. Assist in the development or revision ofdepartmental policies, systems, methods, and procedures; preparerelated documentation including the design and implementation ofcomputer programs, as appropriate.
  • Track/reconcile receipts and invoices.
SUPPLEMENTAL FUNCTIONS:
  • Serve on University or external committees representingsupervisor or program, as directed.
  • Attend meetings, conferences, and/or workshops as appropriatealongside other team members.
  • Participate in performance-related goal setting and achievementto meet personal and organizational goals and objectives.
  • Oversee/supervise interns and/or work study students.
  • Other related duties as assigned.

MINIMUM QUALIFICATIONS:

Education: Associate's degree OR equivalent combination ofeducation and experience

Experience: 1 year progressively responsible work-relatedexperience

Required licensure, certification, registration or otherrequirements: Valid driver's license with a motor vehicle record (MVR) compliantwith the Driving for University Business SAP.
