Hiring Goal

The company seeks a professional who is detail-oriented and proactive. This Office Associate will support the day-to-day operations of the Boulder office. This role will act as the director of first impressions, curating an environment that is welcoming and running smoothly. The ideal candidate will bring a positive, solutions-oriented, "can-do" attitude and take ownership of creating a professional, organized, and welcoming workplace.

ROLE OVERVIEW
Office Operations: 60%
  • Serve as the first point of contact, answering phones (low volume), greeting clients and visitors (low volume), and maintaining a professional, welcoming office environment, ensuring hospitality standards are met
  • Oversee conference room scheduling, meeting setup/cleanup, and logistics for both internal and client-facing events
  • Be back up for scheduling meetings and calls, coordinate travel, and provide general administrative assistance to team members and leadership
  • Support coordination of college recruiting and interviews
  • Partner with other team members coordinating company events (e.g., team meetings, happy hours, client events, family picnic, holiday party)
  • Act as a secondary point of contact for operations-related administrative tasks
  • Act as the liaison for building management, janitorial services, IT support, and equipment vendors.
  • Assist with onboarding by preparing workstations, coordinating equipment, and managing parking/access logistics
Office Support: 40%
  • Order and manage inventory for office supplies, snacks, and refreshments
  • Employee keycard logistics
  • Manage incoming and outgoing mail and packages (light load)
  • Support the tax team with certified mail and Scan and AutoFlow of tax documents
  • Replenish supplies for mail/copy
  • Ensure common areas (kitchen, conference rooms, supply room, and plants) remain clean, stocked, and organized
  • Support internal projects, initiatives, and ad hoc tasks as needed
Desired background and attributes

  • Administrative experience where your skills align with 75% of the roles needs
  • Strong organizational skills with the ability to juggle multiple priorities
  • Highly adaptable with strong problem‑solving skills
  • Excellent communication skills, both written and verbal
  • Experience with Microsoft Office Suite (Outlook, Excel, Word)
  • Very comfortable with using Teams and coordinating digital meetings
  • A proactive, problem‑solving mindset and a willingness to "own" administrative tasks
  • Be technically savvy and resourceful and industrious (i.e., find ways to consolidate responsibilities with intuitive technology resources)
  • On occasion, willingness to work extended hours for events and deadlines
Company Offerings
  • Hours: Monday through Friday, 8:00am - 5:00pm. This role is 5-days in office.
  • Salary: $65k to $82.5k. Discretionary Bonus.
  • 401(K): Company provides 100% match, up to 3%, then 50% of the next 2%, totaling a maximum of 4% for one year tenure employees.
  • PTO: Flexible paid time off
