Job summary

Central Texas College in Killeen, TX, seeks an administrative support specialist to assist DHS programs, with duties focused on ADN, EMT/Paramedic or LVN/Massage tracks. You will answer inquiries, maintain student files, and ensure materials are available for faculty to support program success.

Qualifications

  • High school diploma or GED required.
  • Four years wage-earning clerical experience or certification/30 college credits plus one year clerical experience.
  • Certificates/transcripts must be provided with application for evaluation.

Responsibilities

  • Create and maintain student files; assist with audits from state/regional/national accreditors.
  • General administrative support: answer calls, assist visitors, filing, copying, distributing, faxing info, inputting work orders, ordering supplies; note taking for meetings.
  • Set up student group interviews and coordinate mandatory orientation; coordinate speakers, dates and rooms.
  • Develop and maintain class rosters of prospective and enrolled students.
  • Type and maintain forms, exams, learning guides, syllabi and instructional materials.
  • Develops and submits class schedules.
  • Gather student information forms, CPR cards, transcripts, immunizations, and other required documents.
  • Maintain program clinical rosters; develop student rosters for clinical assignments as directed.
  • Provide department information to the public and represent the department at events.

Job description

Provide administrative support to DHS programs with specific support provided to either ADN, EMT/Paramedic or LVN/Massage. Provides information to students, maintains student files, ensures materials are available for faculty, and helps to ensure the overall success of DHS programs.

High school diploma or GED required. Four years wage earning clerical experience, or certification / successful completion of relevant trade school (30 college credits)and one-year wage earning clerical experience.

A copy of certificates and/or college transcripts required with application for evaluation purposes.

  • Must have a thorough working knowledge, skill, and ability with computers, email, and the internet
  • Must be adept with MS Word, Excel, and Outlook.
  • Ability to work with alpha/numeric filing systems.
  • Take responsibility and initiative over projects, completing and finishing them with minimal supervision.
  • Demonstrate data entry and word processing skills with high accuracy.
  • Demonstrate excellent listening, verbal, and written skills.
  • Excellent customer service skills and effective interaction with the faculty, staff, students, and the general public.

  • Creates and maintains student files to include required state and program forms and documents; assists with record audits from state, regional, and national accreditors
  • Perform general administrative support to include answering telephone calls and assisting visitors, filling, copying, distributing and faxing information, inputting work orders and ordering supplies, serve as a note taker for departmental meetings,
  • Sets up student group interviews and coordinates mandatory student orientation (contact of speakers, setting date, time, and room); facilitates visiting groups to the department
  • Develops and maintains class rosters of prospective students and original cohorts of students accepted and enrolled in department programs;
  • Type and/or maintain forms, exams, learning guides, syllabi and other instructional materials required by staff and faculty,
  • Develops and submits class schedules
  • Gathers student information forms, CPRcards, transcripts, immunizations, and other required documents for program entry;
  • Maintain program clinical assignment rosters. Per faculty direction, develop student rosters for clinical assignments.
  • Provide the public with detailed departmental program information as requested, attend college functions representing the Department of Health Sciences and its recruitment efforts on and off campus;
  • Perform other duties as required or approved by the Dept. Chair.
