Job Summary
We seek a resourceful and detail-oriented Office and Event Manager to manage daily office operations, coordinate company events, handle incoming calls, and support Accounts Payable functions. The ideal candidate is organized, proactive, and thrives in a fast-paced environment.
Key Responsibilities
Office Management
- Maintain the office environment's appearance and functionality.
- Manage office supplies, equipment, and vendor relationships.
- Oversee repairs, maintenance, and office improvements.
- Assist with onboarding logistics for new hires (workspace setup, access credentials, welcome kits).
Event Planning & Management
- Plan and execute in-office and off-site events.
- Develop and manage event timelines, budgets, and checklists.
- Handle logistics such as venue booking, catering, transportation, décor, and A/V needs.
- Collaborate with internal teams to align events with company culture and goals.
Call Intake & Front Desk Support
- Answer and route calls professionally.
- Greet visitors and monitor the company email inbox.
- Manage mail and packages.
Accounts Payable (AP) Support
- Assist with processing vendor invoices and reimbursements.
- Match purchase orders with invoices for approval.
- Maintain AP records and assist with month-end closes.
- Communicate with vendors regarding payments.
Qualifications
- Associate or bachelor’s degree preferred or equivalent experience.
- 10+ years in office management, administrative, or finance support roles.
- Ability to manage multiple priorities effectively.
- Strong organizational and communication skills.
- Proficiency in Microsoft Office, Google Workspace, and basic financial systems.
- Customer service mindset with a friendly, professional demeanor.
- Positive attitude and team spirit.
Preferred Skills
- Experience planning corporate or team events.
- Familiarity with AP systems and invoice workflows.
- Handling confidential financial or personnel information.
