The department of Student Life at West Virginia University is currently accepting applications for an Office Administrator.
About the Opportunity:
This position manages the day-to-day operations of Campus and Community Life and provides high-level complex administration and professional support to the office, which includes Student Advocacy, CARE Team, Student Legal Services, and Off-Campus Housing.

What you'll do:
- Manage front desk duties, including opening the office, assisting visitors, answering multi-line phones, and Student Helpline.
- Hire, train, and supervise work-study students, and coordinate work-study coverage.
- Perform administrative tasks such as answering calls, organizing mail, preparing mailings, and managing office supplies.
- Maintain accurate files and records, prepare reports, and complete forms related to client services and administrative tasks.
- Interact professionally with clients, staff, counsel, court personnel, and the university community.
- Follow instructions accurately and work independently to complete tasks.
- Ensure smooth daily office functions.
- Provide various administrative duties, including maintaining confidential files, preparing notification letters, documentation for emergency loans, distributing housing info, updating procedures, assisting with CARE Team forms, preparing reference forms, distributing mail, scheduling appointments, and coordinating staff meetings.
- Serve as building manager as appropriate.
- Schedule and prioritize services for a large caseload of student clients, avoiding conflicts of interest.
- Handle processes related to procurement and accounts payable, including financial reports and budget monitoring.
- Support Student Legal Services by staffing the office, scheduling, maintaining the calendar, purchasing supplies, and supervising undergraduate workers.
- Draft pleadings under attorney supervision, manage online intake, and close cases accurately and timely.
Qualifications
- Bachelor's Degree in a related field or equivalent education/experience.
- 1-2 years of administrative office experience.
Knowledge, Skills & Abilities:
- Commitment to understanding issues faced by WVU students.
- Proficiency with Microsoft Office and case management software (Advocate & Clio).
- Ability to balance responsibilities, communicate effectively, and problem solve efficiently.

Physical Effort:
- Frequent standing, walking, sitting, handling objects, reaching, and communication.
- Lift/move up to 20 pounds; good vision and focus abilities.
