Sarasota Architectural Woodworking is an exclusive, high-end architectural millwork firm. We specialize in highly complex and detailed interiors for residences, commercial spaces, and transportation. We engineer, craft, and install bespoke cabinetry and millwork utilizing exotic veneers, premium grade hardwoods, and Italian finishes. Our team of artisans is challenged with diverse and unique projects for magazine-worthy projects. We are seeking a highly motivated Office Administrator who enjoys a busy team environment while also demonstrating the ability to work independently and proactively. The ideal candidate will play a crucial role in support of our project management, bookkeeping, and sales team. This position requires a strong working knowledge of Excel, proficiency in QuickBooks, and the adaptability to learn new software. Honesty, integrity, and the ability to maintain strict confidentiality are essential for this role due to the nature of our work with high-profile clients.

Responsibilities:

  • Responsible for the processing and administration of proposals, contracts, and change orders utilizing existing templates and company procedures.
  • Maintaining accurate records of ongoing projects.
  • Input and assign transactions and vendor bills to expenses/items and projects.
  • Manage incoming vendor bills and payments on a weekly basis.
  • Monthly reconciliation of accounts.
  • Manage all aspects of accounts receivable and payable, including collections and payments.
  • Prepare and file accurate and timely monthly sales tax reports.
  • Responsible for processing weekly payroll, including data entry and report generation.
  • Provide Certificates of Insurance and resale tax certificates to clients/vendors.
  • Perform a range of administrative tasks, including but not limited to responding to emails, ordering supplies, printing, and other tasks as assigned.

Requirements:

  • Experience as an office administrator or similar role within an office environment.
  • Experience in QuickBooks.
  • Bookkeeping experience - at least one year, preferably in the construction-related industry.
  • Work independently with limited supervision.
  • Microsoft suite experience including Excel, Word, and Outlook required.
  • Familiarity with Tractivity is a plus but not required.
