Your Impact

We are seeking a highly organized, detail-oriented Office Administrator to own the day-to-day operational and compliance infrastructure of our cannabis micro-cultivation facility. This role is essential to ensure the facility runs smoothly, remains fully compliant, and maintains structured internal operations across departments. The Office Administrator will manage office operations, compliance documentation, vendor coordination, and internal administrative systems. This is not a support-only role-this position is responsible for maintaining order, accountability, and execution within a highly regulated environment.

What You'll Do (Personnel Duties, Authority, and Responsibilities)

Office Operations & Administrative Control
  • Own daily office operations, including scheduling, internal coordination, and administrative workflow.
  • Manage incoming calls, emails, and internal requests with professionalism and efficiency.
  • Maintain structured digital and physical filing systems across all departments.
  • Ensure all administrative processes are organized, current, and function effectively.
  • Oversee office supply levels and maintain consistent inventory of operational materials. Compliance & Recordkeeping (Critical Function)
  • Maintain accurate, organized, and audit-ready documentation across all compliance categories.
  • Ensure timely and accurate entries in systems such as BioTrack (or applicable state tracking systems).
  • Manage cultivation logs, regulatory paperwork, and operational records.
  • Assist in preparing reports for state agencies, audits, and inspections.
  • Maintain documentation related to licensing, employee training, and facility operations.
  • Proactively identify and correct gaps in documentation or compliance processes.
Procurement, Inventory & Vendor Management
  • Own ordering and tracking of operational supplies (PPE, uniforms, office supplies, facility consumables).
  • Maintain accurate records of equipment, supplies, and internal inventory.
  • Coordinate with vendors on orders, deliveries, and issue resolutions.
  • Track invoices and purchasing activity to ensure accountability and organization.
  • Help establish consistent ordering cycles to prevent shortages or overstock.
Facility & Operational Coordination
  • Ensure the facility remains fully operational, organized, and always stocked.
  • Coordinate maintenance, cleaning services, and external vendors.
  • Act as the central point of coordination for facility-related needs.
  • Support cross-department communication between cultivation, production, and administrative teams.
  • Track and follow up on operational tasks to ensure completion.
External Communication & Coordination
  • Communicate professionally with vendors, suppliers, regulatory agencies, and partners.
  • Coordinate meetings, facility tours, and external visits.
  • Support leadership with organized communication and follow-through.
What You Bring (Qualifications)
Required
  • 2–5 years of experience in office administration, operations, or a similar role.
  • Strong organizational skills with high attention to detail.
  • Ability to manage multiple priorities independently.
  • Experience handling sensitive and confidential information.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Suite.
Preferred
  • Experience in cannabis or a regulated industry (pharma, manufacturing, agriculture).
  • Familiarity with Connecticut cannabis regulations (or a willingness to learn quickly).
  • Experience with BioTrack, QuickBooks, or similar systems.
Requirements
  • Must be 21+ years old.
  • Must pass all required background checks.
