Position Summary

We are seeking a reliable, professional, and customer‑focused Office Administrator to serve as the first point of contact for our clients and provide essential support to our agent team. This role is critical to the smooth daily operation of the office. The ideal candidate is organized, friendly, and thrives in a fast‑paced environment while maintaining a positive and helpful demeanor.

Key Responsibilities
  • Phone & Client Service: Answer and screen all incoming calls in a professional and courteous manner
  • Provide excellent first‑line service to clients, answering questions, addressing concerns, and directing inquiries to the appropriate team member
  • Take accurate messages and ensure timely follow‑up
  • Agent Support: Assist agents with administrative tasks, including document preparation, scanning, copying, filing, and mailing
  • Help coordinate appointments, meetings, and office resources
  • Maintain office supplies and ensure common areas remain organized and professional
  • General Office Administration
  • Greet and assist walk‑in clients and visitors
  • Manage incoming and outgoing mail and deliveries
  • Perform data entry and maintain accurate client and office records
  • Support special projects and administrative needs as assigned
