Office Administrator

We are seeking a detail-oriented and proactive Office Administrator to support an engineering and utility design team. This position plays a key role in maintaining project files, coordinating internal communications, and ensuring design requests are processed efficiently and accurately. Ideal candidates will be organized, collaborative, and eager to learn.

Key Responsibilities:

  • Perform general administrative and clerical duties to support engineering staff
  • Maintain and organize both electronic and hard copy project files
  • Print and copy documents as needed for distribution and archiving
  • Create and assign project folders based on staff workload and territory
  • Review design requests to verify accuracy of submitted data
  • Communicate with vendors to confirm assignments and request additional project details
  • Populate and file internal data sheets and submittals
  • Initiate service tickets and submissions
  • Generate Bill of Materials (BOMs) for new developments
  • Assist with creation of service stub lists and right-of-way documentation

Required Qualifications:

  • High school diploma or equivalent
  • Strong organizational and communication skills
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams)
  • Reliable transportation to Exton, PA office
