Job description

THE OPPORTUNITY
The Office Administrator provides general administrative and operational support for the Babson Boston Campus, located at 100 High St., Boston, MA, and assists the Director, Boston Campus Management. Responsibilities include interacting with faculty, staff, students, alumni, external visitors, and stakeholders within the Corporate and Engagement teams; reviewing and approving scheduling requests; facilitating office functions; and supporting special projects. The role also involves supporting the Corporate Engagement team with program operations, logistics, and coordination.

WHAT YOU WILL DO

  1. Serve as the first point of contact for the campus, greeting visitors, ensuring sign-in procedures, managing phone inquiries, and providing assistance.
  2. Provide administrative support to the Boston staff, including managing schedules, organizing work, maintaining files, and handling correspondence and supplies.
  3. Coordinate space and program portfolios, including registration, faculty payments, contract management, session logistics, and virtual platform management (Webex, Zoom, Cvent).
  4. Oversee campus spaces at 100 High Street, managing reservations, maintaining cleanliness, and ensuring proper furniture arrangements.
  5. Assist with access management for classrooms and conference spaces, communicating with Public Safety regarding permissions.
  6. Perform risk assessments for events, prepare contracts, and manage Certificates of Insurance as needed.
  7. Maintain metrics via Salesforce, prepare reports, proofread documents, and manage departmental communications.
  8. Oversee maintenance of computer equipment, liaise with IT, and improve processes for efficiency; manage electronic and paper filing systems and assist with website updates.
  9. Manage the department email account, respond promptly, and assist with budget and expense reconciliation.
  10. Support business development efforts in collaboration with leadership.
  11. Manage the Director’s calendar and travel arrangements if needed.
  12. Perform additional responsibilities as required.

WHAT EDUCATION AND SKILLS YOU WILL NEED

  • High School Diploma
  • 3-5 years of experience in office administration
  • Professional demeanor and strong organizational, interpersonal, customer service, and communication skills
  • Ability to handle multiple priorities and maintain confidentiality
  • Proficiency in MS Office (Word, Excel, PowerPoint) and social media skills
  • Ability to work with diverse populations
  • Basic supervisory skills
  • Innovative mindset to support Entrepreneurial Thought & Action
  • Flexibility and willingness to adapt to change

HOW AND WHERE YOU WILL WORK

Onsite work required 5 days a week at the Boston campus, with potential modifications based on organizational needs.

ADDITIONAL SKILLS YOU MAY HAVE

Experience with Workday, Cvent, and Salesforce is a plus.
