Job summary

Trautman & Shreve, Inc. is seeking an Office Administrator to oversee daily administrative operations and support management and staff.

You will be a central point of contact for employees, customers, vendors, and visitors, maintaining records, coordinating schedules, and handling communications in a fast-paced office. The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities.

Qualifications

  • 3-5 years working in an administrative role supporting management.
  • High school diploma or GED required.
  • Bachelor’s Degree or currently pursuing preferred.
  • Experience with construction industry, operations management, and safety practices is a plus.

Responsibilities

  • Answer telephones and route calls.
  • Greet visitors and handle inquiries or direct them to appropriate personnel.
  • Create, maintain, and enter information into databases.
  • Use computers for word processing and data management.
  • Operate office equipment and arrange repairs as needed.
  • Process and distribute reports internally and externally.
  • Serve as liaison between field and main office and project teams.
  • Maintain confidentiality of company information.
  • Perform additional assignments as required by management.

About Us

We are a single-source solution for the design and implementation of sophisticated mechanical and plumbing systems. Our integrated in-house production model utilizes coordinated BIM models to produce precise fabrication documentation to help ensure accurate installation.

Job Summary

The Office Administrator is responsible for overseeing daily administrative operations and providing support to management and staff to ensure the efficient functioning of the office. This position serves as a central point of contact for employees, customers, vendors, and visitors while maintaining organized records, coordinating schedules, managing communications, and supporting various business processes. The ideal candidate is highly organized, detail-oriented, customer-focused, and capable of managing multiple priorities in a fast-paced environment.

Essential Duties & Responsibilities

Include the following. Other duties may be assigned.

  • Answer telephones and give information to callers, take messages, or transfer calls to appropriate individuals.
  • Greet visitors or callers and handle their inquiries or direct them to the appropriate persons according to their needs.
  • Create, maintain, and enter information into databases.
  • Use computers for various applications, such as database management or word processing.
  • Operate office equipment, such as fax machines, copiers, or phone systems and arrange for repairs when equipment malfunctions.
  • Process and distribute necessary reports internally and externally.
  • Serve as liaison between field office and main office; project team and field personnel as needed.
  • Conserve time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
  • Maintain confidentiality of company information.
  • Perform additional assignments as required by the company or as directed by management.

PREFERRED EDUCATION and/or EXPERIENCE

  • 3 - 5 years working in an administrative job, supporting management.
  • High school diploma or GED required.
  • Bachelor’s Degree or currently pursuing preferred.
  • Working knowledge of the construction industry, operations management, and safety practices a plus.

Business writing and reporting skills

COMPUTER SKILLS

Must demonstrate proficiency in Microsoft Office applications, (i.e. Outlook, Word and Excel).

Working knowledge of project and financial software a plus.

Compensation Range: Minimum $25.00 per hour and maximum $30.00 per hour, depending on experience.

Other Compensation: this position is eligible for an annual discretionary bonus
