We are looking for a dependable and organized Office Administrative Assistant to join our team. This position will provide general office support and assist with paperwork, data entry, filing, billing, reporting, and customer communication. The ideal candidate is detail-oriented, comfortable working on a computer, and able to stay organized in a busy office environment.
- Prepare and file vehicle title and Certificate of Authority paperwork with the State of Indiana.
- Accurately enter and maintain information in the company’s dispatch and computer systems.
- Assist with light billing, including entering charges and maintaining billing records.
- File and maintain company records, paperwork, and other documentation.
- Pull and organize reports as requested by management.
- Assist with customer emails and other customer service needs.
- Maintain accurate and organized records and documentation.
- Assist with general office tasks and administrative duties.
- Cross-train in dispatch and provide support to the dispatch team as needed.
- Communicate professionally with customers, employees, state agencies, and other contacts.
- Follow established company procedures and maintain confidentiality of company and customer information.
- Perform other duties as assigned.
Qualifications, Education & Experience
- High School Diploma or equivalent.
- Strong organizational and time-management skills.
- Excellent attention to detail and accuracy.
- Comfortable using computers and learning new software.
- Accurate data entry and basic computer skills.
- Ability to read and write in English.
- Ability to work independently while also being a team player.
- Ability to prioritize tasks and meet deadlines in a busy office environment.
- Previous office, administrative, customer service, or dispatch experience is a plus.
- Experience with Tow Book or similar dispatch software is a plus.
Physical Requirements
Ability to clearly communicate both orally and in writing by telephone and computer for extended periods. Routinely requires sitting at a desk and viewing a computer screen for extended periods. Ability to access, input, and retrieve information from a computer or other electronic device. May occasionally require walking, standing, lifting, carrying, bending, reaching, and other routine office-related activities.
