Job summary

Jones Lang LaSalle in Beaverton, OR is seeking an Occupancy Planner to manage seat demand reporting, planning migrations, and space utilization within corporate real estate. The role requires 3–5 years in space/occupancy planning, strong Excel, AutoCAD, and presentations skills, and a degree in a related field.

Qualifications

  • Bachelor's Degree in Real Estate, Finance, Architecture, Interior Design, Construction Management, or related field is required.
  • Minimum of 3–5 years of experience in a corporate environment furniture/layouts.
  • Experience with space/occupancy planning at a strategic level and with interior renovations and building code compliance is desirable.
  • CAFM system experience (Archibus or Tririga) is desirable.

Responsibilities

  • Ensure accurate reporting of information and foster relationships between stakeholders.
  • Provide design presentations for furniture layouts and options from existing inventory.

Job Summary

The Occupancy Planner will need to have a great knowledge in Corporate Real Estate. In this role, you will prepare and update project status reports on actual seat demand versus projected seat demand at the building level, reporting out on the current supply and capacity, and forecast inventory changes as required. The Occupancy Planner will be charged with assembling, updating, and reporting the top-down and bottoms-up seat count projections collected at the group-level for an annual planning horizon and work with the client to reconcile discrepancies from top-down projections, as well as track and report actual seat demand at the group level.

The Occupancy Planner will be assisting with the development of migration plans and sequencing of group-level moves as well as facilitate and/or resolve planning issues identified in customer planning meetings. They will ensure that planning is aligned with corporate guidelines, and that all scenarios follow established workplace design standards. They will recommend, educate, and enforce space policies/standards, procedures and protocols and notify the client of customer requested exceptions. The Occupancy Planner will get familiar with space utilization methods and presenting utilization data to drive productive space, as well as ensuring that data is well documented and up to date on presentations and in our CAFM system for your projects.

Key Responsibilities

To be successful in this role, you should be able to ensure accurate reporting of information, and foster critical relationships between various individuals and organizations communication channels will exist with:

  • Corporate Real Estate to review and resolve planning forecast requirements, concerns and issues for your assigned buildings, and neighborhoods
  • Foster relationships and partner with business unit admins and points of contact.
  • Provide design presentations for furniture layouts and options from existing inventory
  • Build stack plans and PowerPoint presentations specific to building details needed to support Strategic Planning and Sr. Planners
  • Be meticulous about details and data
  • Project management to review planning strategies that drive construction projects and support implementation of these projects
  • Provide move furniture plans for approval to client leaders and coordinate with internal move and facility management teams as well as develop migration plans and conduct facility audits; and ensure accuracy
  • Coordinate with other members of the occupancy planning team to ensure cross campus/portfolio strategy plans are developed
Required Knowledge, Skills & Abilities
  • Strong interpersonal skills with an ability to interact with executive level external and internal clients
  • Excellent communication and storytelling skills are important – both written and spoken
  • Ability to work independently, multi-task, and manage time to meet deadlines.
  • Strong prioritization, organizational skills, and agility
  • Proven ability to use advanced skills in Microsoft Excel (pivot table, cell calculations)
  • Ability to read architectural floor plans and proficiency in AutoCAD
  • Proven presentation skills with PowerPoint to tell a story
  • Ability to read complex occupancy data and report out results
  • Strong team player
Qualifications
  • Bachelor's Degree in Real Estate, Finance, Architecture, Interior Design, Construction Management, or related field is required
  • Minimum of 3 – 5 years of experience in corporate environment furniture layouts
  • Previous experience in space/occupancy planning at a strategic level, plus experience with interior office renovations and building code compliance is highly desirable
  • CAFM system experience (Archibus or Tririga experience is desirable)
