Key Responsibilities
- Participate in OCC crew briefings and shift handovers; maintain awareness of weather, aircraft status, staffing, training priorities, operational restrictions, and other issues affecting the daily operation.
- Compile, coordinate, create, and distribute the daily master flight schedule, balancing instructor and trainee availability, aircraft and simulator availability, maintenance requirements, stage checks/check rides, weather, and applicable regulations.
- Generate and adjust aircraft availability and assignments; coordinate tail numbers, equipment types, pre-flight start times, check pilot assignments, wait lists, and other schedule changes required to maintain efficient training operations.
- Dispatch and release Academy aircraft nd flight training devices through the Training Management System in accordance with OCC procedures; verify flight tags, course/phase/lesson information, crew, route, charge type, equipment, and required documentation.
- Verify required solo-flight documentation, including the Solo Student Checklist and FRAT, before aircraft issuance; do not release aircraft contrary to FAA regulations, company policies, procedures, or current operational restrictions.
- Monitor dispatched flights and operational conditions, including ATC/CTAF/company frequencies, VFR weather, NOTAMs, TFRs, pilot reports, and local trends; communicate conditions that may require delays, cancellations, diversions, recalls, or other operational action.
- Follow redispatch and Emergency Response/Emergency Action procedures for unscheduled landings, overdue aircraft, diversions, mechanical events, accidents/incidents, or other non-standard events, and keep OCC leadership informed.
- Coordinate with instructors, trainees, maintenance, and flight line personnel to ensure aircraft are properly staged, fueled, prepared, dispatched, recovered, and available for scheduled training.
- Receive and coordinate radio/telephone requests for fuel, line service, and maintenance support; ensure aircraft discrepancies are properly documented and communicated to Maintenance.
- Support safe ramp operations, aircraft parking/staging/movement, periodic ramp inspections, and compliance with flight line safety procedures.
- Maintain accurate operational records, dispatch logs, flight tags, fuel-card accountability, shift documentation, scheduling records, and other OCC records as assigned.
- Maintain required OCC forms and materials and support simulator pre-flight checks, student training-logbook control, instructor mailbox assignments, and other administrative functions as required.
- Identify and help resolve operational issues that may delay training or affect student progression; promptly elevate safety, compliance, maintenance, or resource concerns to OCC leadership.
- Support and promote the Safety Management System (SMS), including hazard identification and reporting, safety briefings, procedural updates, incident follow-up, and proactive risk management.
- Provide professional customer service and clear communication to instructors, trainees, maintenance personnel, management, and other departments while working effectively in a fast-paced, high-pressure environment.
- Perform other OCC duties and responsibilities as assigned by the OCC Manager or operational leadership
Minimum Qualifications
- High school diploma or equivalent required; two to three years of related aviation/operations experience or an equivalent combination of education and experience preferred.
- Previous flight line, dispatch, scheduling, or aviation operations experience preferred
- FAA Commercial Pilot Certificate, Airplane Single-Engine Land, and current FAA CFI-A Certificate preferred; multi-engine and instrument qualifications are advantageous.
- Working knowledge of aviation weather, NOTAMs, TFRs, FAA regulations, and flight-training operations.
- Proficiency with Microsoft Office and ability to learn and effectively use company scheduling, dispatch, and training-management software.
- Strong attention to detail, organization, communication, customer service, and ability to manage multiple concurrent priorities with minimal supervision.
- Ability to adapt quickly to changing schedules and operational conditions and make sound decisions under pressure.
- Contingent upon employment, successful completion of required drug screening, background check, and TSA badging where applicable.
