Osseo Area Learning Center in Brooklyn Park, MN seeks a capable Administrative Professional to manage student records and site operations. You will handle master scheduling, enrollment data, and confidential files while supporting counseling and admin staff.

Responsibilities

  • Provide secretarial/clerical support: transcribing, typing, filing, word processing, meeting minutes.
  • Greet visitors and answer questions for the general public, students and staff; route inquiries as needed.
  • Maintain calendars for site, department and supervisors; update handbooks and manuals.
  • Familiarize new staff with office procedures and coordinate mail incoming/outgoing.
  • Assist with other duties as assigned by administration or business manager.

Job Description

Job Summary:To inspire and prepare each and every scholar with the confidence, courage and competence to achieve their dreams; contribute to community; and engage in a lifetime of learning by providing specialized clerical and technical duties related to the assignment or placement, as well as related responsibilities requiring creative solutions to specialized site/department needs. Answer correspondence and assemble highly confidential and sensitive information. Interact with a diverse group of external customers as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize, and organize and carry out a diversified workload, and make recommendations for changes in office practices or procedures.

Responsibilities and duties include:

  • Work with administration and counseling staff to create and maintain master schedule, student enrollments, applications and waitlist, student schedules and changes for all OALC programs (including extended time programming)
  • Answer questions, prepare and maintain forms, reports and file/maintain records for students (i.e. schedule and grade changes, transcript management, annual purging of student cum files, student advisory folders, filling out student verification forms, etc.)
  • Provide secretarial/clerical support in the form of transcribing, typing, filing, word processing, duplication of materials, prepare agendas and meeting minutes, laminating etc.
  • Greet visitors, answer questions/concerns pertaining to the administrative function for general public, students and faculty staff. Receive incoming calls and refer to appropriate source as needed.
  • Maintain site, department and/or supervisors calendars.
  • Create, update, and maintain handbooks and manuals.
  • Familiarize new staff with appropriate office procedures.
  • Receive, open and distribute mail. Prepare outgoing mail.
  • Other duties as assigned by administration/business manager

Minimum qualifications include:

  • High school graduate or equivalent.

Preferred qualifications include:

  • Vocational training in secretarial office procedures desirable.
  • Work experience in a related area within an educational system.

Skills, Knowledge, abilities:

  • Extensive secretarial/clerical skills including word processing/data entry.
  • Strong written and verbal communication skills; correct grammar, spelling and composition skills.
  • Skills in developing and maintaining computerized record systems.
  • Knowledge of district policies as they affect the general operation of the building.
  • Organized and capable of carrying out multiple tasks with minimal supervision.
  • Ability to maintain confidentiality of the materials and information disseminated daily.
  • Accurate and detail oriented.
  • Ability to anticipate needs, develop new procedures and implement changes.

Salary: Class 4-A, $27.36 to $29.81 hourly

Bargaining unit: Osseo Administrative Professionals (OAP)

FTE: Full time, 8 hours per day; 260-261 workdays per year
