Job summary

Osseo Area Schools in Maple Grove, MN seeks an LCTS Administrative Professional to provide comprehensive support to the Northwest Family Resource Collaborative. You will help coordinate calendars, prepare communications, manage budgets, and assist with grants records while ensuring timely reporting and accurate documentation.

Responsibilities include maintaining office operations, updating newsletters and reports, managing databases for outreach, and contacting partners to share youth and family

Qualifications

  • High school diploma or GED required.
  • Preferred: secretarial/clerical experience and strong MS Office skills.
  • Experience in an education setting is a plus.

Job Summary: Under the direction of the Northwest Family Resource Collaborative (NWFRC) Executive Director, the LCTS (Local Collaborative Time Study) Administrative Professional is responsible for providing extensive administrative support to NWFRC personnel. Duties include scheduling, coordinating activities and assisting with communication materials associated with collaborative-sponsored events, workshops and meetings; coordinating calendars, maintaining records for staff activities; assisting with preparing and managing financial budgets and grants records; assisting with maintaining the correctness and functionality of the Collaborative's website; relaying youth and family services information to community partners; editing and producing newsletters and reports.

Responsibilities And Tasks Include
  • Maintain office space in professional and welcoming condition.
  • Understand and follow district administrative procedures.
  • Prepare and submit all accounting forms requiring processing.
  • Track and manage NWFRC budgets and expenditures.
  • Review revenue and expenditure reports on a monthly basis and prepare and submit all necessary adjustments to ensure accurate financial reporting.
  • Maintain eFP access and system knowledge.
  • Provide financial reports, reseach transactions, and respond to day-to-day financial-related requestes from the NWFRC Executive Director.
  • Manage databases for email communications list, partners, service affiliates, and edit content for brochures, newsletters, and annual reports.
  • Track and update appointments or event dates as needed on calendar.
  • Proofread contracts and governing documents.
  • Capture meeting minutes at governing board and committee meetings.
  • Administer schedule for the NWFRC Executive Director.
  • Field phone calls and emails as needed.
  • Participate in mutual aid drives, i.e., winter jackets, hats, or gloves; backpacks; books; or dental care and connect with partner sites for distribution.
  • Gather and relыт youth and family services information to families and community partners via communications channels.
  • Order office supplies, including IT equipment.
  • Other general duties as needed or assigned.
Minimum Qualifications Include
  • High school diploma or GED.
Preferred Qualifications
  • Prior related secretarial/clerical work experience.
  • Prior customer service and Microsoft Office experience.
  • Experience in an education setting.
  • Excellent verbal and written skills, including knowledge of office practices, grammar, spelling and educational terminology.
  • Advanced knowledge of computers and software applications with proficiency in MS Word, Access, Excel, Outlook, Mailchimp, Constant Contact, Sign-up Genius, and web based applications including Google Suite. Knowledge of bookkeeping concepts and terminology. At least one year previous administrative and/or related work experience.
Knowledge, Skills, And Abilities Include
  • Understanding of data entry concepts.
  • Knowledge of spreadsheet and database management software and word processing skills.
  • Fundamentals of general office and general administrative procedures and operational requirements.
  • Understanding of office equipment and typical productivity software, databases or customized systems/applications.
  • Knowledge of basic record retention, record/file/database maintenance requirements.
  • Understanding of data privacy requirements, confidentiality, laws and rules as it pertains to job assignments.

Salary: Class 4-B, $27.36 to $29.81 hourly

Bargaining unit: Osseo Administrative Professionals (OAP)

Work Schedule

8 hours/day; 260/261 workdays per year

Monday through Friday, with up to nine evening and five weekend days annually

FTE: 1.0
