Job description

Hay Creek Hotels is seeking a passionate and customer service-focused Front Desk Agent: Night Auditor to join our team at The Exeter Inn. Maintain outstanding professionalism with the ability to multitask and excel in a fast-paced environment.

Job Summary:
  1. Greet and welcome all guests professionally and hospitably. Use the S.E.A.C. method—smile, eye contact, acknowledge promptly, and close kindly.

  2. Register guests, assign rooms and keys securely, verify credit, and process payments at check-out.

  3. Assist guests with luggage, reservations, and requests for housekeeping or maintenance.

  4. Have thorough knowledge of hotel services, local attractions, and directions.

  5. Provide telephone services using the multi-line system, following all scripts.

  6. Know the hotel property management system, rates, packages, and reservation procedures; handle inquiries and bookings.

  7. Handle guest requests professionally, resolve issues, and communicate concerns to management.

  8. Maintain lobby cleanliness and organization.

  9. Be flexible to perform other roles to ensure excellent customer service, including assisting other departments.

  10. Work flexible hours, including days, nights, weekends, holidays, and peak days.

  11. Follow all safety and emergency procedures, lead evacuations, secure valuables, and manage Lost and Found per policy.

Essential Functions:
  • Understand all front desk responsibilities.
  • Record messages for the next shift, including guest issues and early calls.
  • Coordinate with housekeeping and other departments regarding no-shows, room moves, and check-outs.
  • Balance daily postings and revenue in the system.
  • Prepare and distribute daily reports via email accurately and timely.
  • Resolve guest issues diplomatically and promptly.
  • Be familiar with emergency procedures and conduct routine security checks.
  • Prepare VIP, complimentary, and out-of-order room lists accurately.
  • Ensure proper guest registration and credit procedures.
  • Process guaranteed/no-show billings efficiently.
  • Follow all system controls and procedures.
  • Complete the night audit checklist and responsibilities, including data entry into M3 and other systems, estimated to take about 45 minutes per shift.
  • Export and email daily reports to department heads.
