Job summary

Grand Beach Suites Hotel is seeking a Night Auditor in Bay Harbor Islands, FL to manage guest check-ins/outs, process payments, and maintain accurate reports. You will support front desk operations and assist with nightly accounting tasks in a fast-paced hotel environment.

The role requires excellent English communication, cash handling, and attention to detail. Training will cover Encore/Micros systems and hotel policies, with a team-focused, customer-first mindset.

Qualifications

• High school graduate.
• Ability to compute accurate mathematical calculations.
• Ability to communicate clearly in English with guests/visitors, management and co-workers, in person and by telephone.
• Legible communication and directions.
• Some college or training in hospitality industry.
• Previous experience as a Front Office Receptionist.
• Previous cashiering experience.
• Knowledge of computers.
• Fluency in a foreign language, preferably Spanish, French or Japanese.
• Previous auditing or statistician experience.

Responsibilities

• Maintain knowledge of hotel features/services, room types, rates and status.
• Maintain policies and procedures.
• Obtain assigned bank and ensure accuracy of contracted monies.
• Meet with supervisor to review daily assignments.
• Meet with departing Front Office staff to review status and follow up items.
• Access computer system according to procedures and standards.
• Set up workstation and maintain cleanliness.
• Answer department telephone within 3 rings and greet guests correctly.
• Promote positive guest relations at the Front Desk.
• Accommodate information requests in a congenial manner.
• Process guest check-ins per hotel requirements.
• Register guest in system, obtain payment method, and provide necessary notes.
• Inform guests of messages, mail, faxes, safety and key procedures.
• Issue parking passes and communicate package details.
• Obtain identification for tax-exempt guests and attach forms.
• Maintain guest history files and communicate VIP arrivals.
• Set up accurate guest accounts including room/tax/incidentals.
• File registration cards and vouchers by room.
• Walk guests to alternate accommodations if needed.
• Handle guest complaints promptly to ensure satisfaction.
• Document requests and problems and follow up within 20 minutes.
• Take and relay messages accurately.
• Record wake-up calls and arrange delivery to PBX.
• Issue safe deposit boxes and secure keys.
• Distribute guest and department mail and faxes.
• Document and confirm reservations and cancellations.
• Block rooms in the system and pre-register designated guests.
• Communicate pertinent guest information to departments.
• Generate and distribute daily/weekly reports.
• Resolve room status discrepancies with Housekeeping.
• Process checkouts and resolve charges.
