Overview

The Front Desk Night Clerk will serve as an ambassador to the hotel, handling all check-in and check-out procedures, answering incoming calls, and upholding Guest Service Standards. The role includes nightly accounting and acting as a "Runner" for housekeeping needs during the midnight shift. Responsibilities also involve computing, classifying, and recording numerical data to maintain financial records. The clerk will perform routine calculating, posting, and verifying duties to ensure accurate financial data for accounting purposes. Additionally, the position may require checking the accuracy of figures, calculations, and postings related to business transactions recorded by others.

Key Duties & Responsibilities
  • Resolve guest complaints to ensure guest satisfaction.
  • Maintain knowledge of hotel features, services, room types, rates, and daily operations.
  • Monitor and maintain cleanliness and organization of work areas.
  • Manage and secure the bank at all times.
  • Read and record information in the daily log book.
  • Process currency exchange and payments.
  • Handle adjustments, rebates, paid outs, and credits as needed.
  • Operate and maintain the security of the Property Management System (PMS).
  • Verify and correct the Room Rate Report.
  • Post and audit banquet charges.
  • Reconcile telephone calls and miscellaneous accounts.
  • Backup computer system files.
  • Ensure all checks are closed; log open checks in the POS system.
  • Print and review Food & Beverage end-of-day reports.
  • Audit cashier work and correct discrepancies in Food & Beverage and Rooms Cashier reports.
  • Audit miscellaneous charges and package postings.
  • Input sales figures into the PMS and balance accounts.
  • Run Room & Tax reports to verify posted rates.
  • Verify Cashier reports and close POS after balancing.
  • Record room statistics and run end-of-day reports.
  • Ensure system interfaces are operational.
  • Distribute daily Flash and backup reports.
  • Print express check-out folios and distribute.
  • Sign out and brief relief staff.
  • Review Night Audit checklist to confirm completion of tasks.
  • Restock printers and deposit payments and checks.
  • Coordinate with the oncoming supervisor regarding assignments and follow-ups.
  • Document maintenance needs and submit work orders.
  • Attend department meetings and training sessions as required.
Education and Experience
  • High School Diploma or GED.
  • At least one year of experience in a similar hotel position.
  • Ability to work overnight shift (11 PM - 7 AM).
  • Basic computer skills required.
