Museum Visitor Services Specialist (Administrative Assistant I)

The Colorado Springs Pioneers Museum (CSPM) seeks an experienced individual to help visitors have the best possible experience while at the museum. This position is a unique blend of customer service and security, which will require a professional, confident, and friendly demeanor. You will have daily contact with museum guests, students, volunteers, and staff. It often serves as the only point of contact visitors may have with museum staff. The successful candidate must be able to provide excellent customer service through tasks such as orienting visitors to the site, ensuring museum safety security protocols are followed, and supporting the museum’s wide array of public engagement efforts.


Essential Job Functions - the basic job duties an employee must be able to perform:

  1. Provide excellent customer service to museum visitors, members, staff, and volunteers.
  2. Provide visitor orientation and ensure accessibility to the site for those with special needs.
  3. Maintain knowledge of museum exhibits and programs.
  4. Maintain the integrity of secure areas, ensuring safety and security protocols are followed, and overseeing the work of security contractors, patrol officers, and alarm companies.
  5. Use excellent communication skills to engage patrons on-site and by phone.
  6. Respond to alarms and other safety/security events inside and outside the museum and at a remote facility several blocks away, including potential for after-hours response.
  7. Complete administrative duties including but not limited to data entry, summary reports, and submitting work and facility orders, while ensuring an excellent visitor experience.
  8. Assist visitors with ADA and other special needs, proactively making suggestions about how visitors can best interact with exhibits and programs.
  9. Record visitation data and track it in a spreadsheet.
  10. Assist volunteers in recording their hours using an online database.
  11. Respond to in-person and phone inquiries, directing these questions to the appropriate staff.
  12. Provide support for after-hours programs and facility rental, which includes security services, set-up, and clean-up.

Minimum Requirements:

  1. Equivalent to completion of the twelfth grade (high school diploma or GED).
  2. One year of full-time, professional experience in a related field.

Education and Experience Equivalency: One year of relevant work experience may be substituted for one year of required education, or one year of relevant academic coursework beyond the minimum requirement may be substituted for one year of required professional experience.

  1. Experience in a cultural facility such as a gallery, library, or museum.
  2. Experience in a security or guard role.
  3. Experience using Microsoft Office Suite including Outlook and Excel.
