Job summary

New Life Centers is seeking an Operations Coordinator in Chicago for a full-time, in-person role across multiple sites. You will manage vendor relationships, oversee maintenance, and ensure safety and compliance across properties.

The position reports to the Director of Operations and requires strong project management and multi-site coordination. Responsibilities include coordinating preventive maintenance, fleet management, and facility security while maintaining accurate records and budgets.

Qualifications

• Must become a Certified Mandated Reporter.
• Background checks required with no pending cases.
• Working phone and contact details required.
• 3-4 years hands-on fleet/ops experience in multi-site setups.
• Strong organizational and time-management abilities.
• Ability to handle tools and digital logs.
• Clear verbal and written communication with vendors and staff.
• Reliable driver’s license and vehicle for inter-site travel.
• Bilingual English/Spanish preferred.
• Discretion and confidentiality in handling participant information.
• Experience coordinating across multiple sites.

Responsibilities

• Source, vet, and oversee external vendors for repairs and services.
• Review contracts, bid processes, and track facilities budgets.
• Be on-site contact for capital projects and renovations.
• Conduct routine maintenance walks and safety checks.
• Handle basic fleet maintenance tasks and vehicle care.
• Communicate safety and facility concerns with leadership.
• Manage time to complete projects and maintenance priorities.
• Ensure compliance with codes, fire regs, ADA, OSHA.
• Maintain inspection logs and incident records.
• Respond to after-hours emergencies and security systems.
• Maintain fleet cameras, GPS, and related tech.
• Track certifications and driver records; assist with purchasing/logs.
• Coordinate fleet-related vendor relations and renewals.
• Support budgeting, audits, and organizational accountability.
