Overview

The Meal on Wheels Program Specialist supports the Senior Nutrition Department by handling financial, administrative, and client service tasks. Responsibilities include managing attendance records, processing payments, assisting with client billing, and supporting meal delivery for home-delivered and congregate clients. The specialist also ensures compliance with regulations, conducts site visits, and provides support for fundraising and community outreach efforts.

Duties/Responsibilities
  • Maintain attendance records and prepare Congregate Attendance Reports.
  • Process payables, prepare deposits for meals, donations, and SNAP payments.
  • Work with the Cadillac MOW Coordinator to gather necessary materials. Prepare billings for alternative funding sources.
  • Assist with monthly client statements, private pay billing, and deposits.
  • Track client feedback as needed.
  • Prepare forms, templates, and greeting cards for clients and staff.
  • Purchase food and supplies when needed.
  • Respond to inquiries from home-delivered meal clients and handle follow-up.
  • Generate meals, route sheets, and reports for the Traverse City kitchen.
  • Maintain positive communication with community organizations.
  • Serve as back-up driver, delivering meals and conducting safety checks with empathy. Serve as the primary contact for Congregate sites in Grand Traverse and Leelanau counties. Provide training, supplies, and technical assistance to site coordinators.
  • Ensure compliance with regulations during site visits.
  • Assist with fundraising, communications, and grant administration.
  • Ensure timely delivery of meals and safety checks with positive client interaction.
  • Support compliance with program standards and requirements.

Education and Experience

High school education or equivalent experience.

Working with the public, in a related field, or with the senior population preferred.
