Amavida in Fort Myers, FL is seeking a hospitality-focused Move-In Coordinator to guide new residents and families through the move-in process. The role emphasizes attention to detail, organization, and a welcoming, service-oriented approach.

Reporting to the Director of Sales and Marketing, you will manage residency paperwork, apartment readiness, move-in logistics, and follow-up, ensuring a smooth transition for residents and families.

Qualifications

• 2+ years in administrative coordination, office management, move-in coordination, or similar roles.
• Ability to manage multiple deadlines and keep accurate records.
• Strong communication and professional approach with residents and families.

Responsibilities

• Serve as primary contact for incoming residents and families; communicate steps, deadlines, and move-in arrangements.
• Maintain move-in checklists and tracking; document progress and follow up on items.
• Prepare residency agreements and paperwork; ensure documents and approvals are completed before move-in.
• Coordinate apartment readiness with maintenance, housekeeping, and other departments; conduct inspections.
• Organize move-in logistics: movers, building access, keys, dining, welcome details.
• Lead internal move-in meetings to confirm responsibilities and readiness across teams.
• Welcome residents and families on move-in day with attentive service.
• Identify delays, troubleshoot issues, and escalate to leadership when needed.
• Provide weekly updates on move-ins, readiness, and outstanding requirements.
• Follow up post-move-in to support smooth transition and gather feedback.

Amavida, a resort-style senior living community, is seeking a hospitality-focused Move-In Coordinator with strong organizational skills, attention to detail, and consistent follow-through.

Moving is a significant life transition. In this role, you will guide incoming residents and their families through each step, helping them feel informed, supported, and welcome.

Reporting to the Director of Sales and Marketing, you will coordinate residency paperwork, apartment readiness, move-in logistics, and follow-up. Our ideal candidate enjoys helping people, takes ownership of responsibilities, and keeps multiple priorities moving toward completion.

What You'll Do

• Serve as the primary contact for incoming residents and families, clearly communicating next steps, deadlines, and move-in arrangements.
• Maintain accurate move-in checklists and tracking systems, documenting progress and proactively following up on outstanding items.
• Prepare and coordinate residency agreements and required paperwork, ensuring necessary documents and approvals are completed before move-in.
• Coordinate apartment readiness with maintenance, housekeeping, and other departments; conduct pre-arrival inspections and follow through on outstanding items.
• Organize move-in logistics, including mover schedules, building access, keys, dining arrangements, and welcome details.
• Facilitate internal move-in meetings to confirm responsibilities, deadlines, and readiness across departments.
• Personally welcome residents and families on move-in day, providing attentive service and addressing questions or concerns.
• Identify potential delays, troubleshoot issues, and promptly communicate concerns requiring leadership support.
• Provide weekly updates on scheduled move-ins, apartment readiness, and outstanding requirements.
• Follow up after move-in to support a smooth transition and share feedback with the appropriate team members.

What You'll Bring

• At least two years of experience in administrative coordination, office management, move-in coordination, or a comparable role involving detailed paperwork, scheduling, and customer service.
• Demonstrated ability to manage multiple deadlines, maintain accurate records, and follow tasks through to completion.
• Strong communication skills and a warm, professional approach to working with residents, families, and colleagues.
• Proficiency with Microsoft Office, including Outlook and Excel, and the ability to learn CRM and electronic document systems.
• The ability to work independently, follow established procedures, identify potential problems, and communicate concerns promptly.
• Sound judgment and discretion when handling confidential information.
• Experience in senior living, healthcare, hospitality, or property management preferred.

Compensation and Benefits
