Job summary

Dominion Financial Services seeks a detail-oriented Mortgage Operations Specialist to join the Post-Closing Team in Baltimore. You will track post-closing exceptions, coordinate with title companies and attorneys, and ensure documents are properly logged and delivered for custodians and buyers.

The role emphasizes accuracy, compliance, and efficient workflows, with exposure to Salesforce, AI tools, and cross-functional collaboration within a structured process-driven environment.

Qualifications

• Two+ years of experience in mortgage operations, loan processing, closing, post-closing, title or related fields.
• Familiarity with mortgage and real estate documentation.
• Strong attention to detail and ability to identify missing or inaccurate information.
• Excellent organizational and follow-up skills.
• Ability to manage multiple files, deadlines and priorities.
• Professional written and verbal communication skills.

Responsibilities

• Track, review, and clear post-closing exceptions.
• Contact title companies, attorneys, and external partners to obtain trailing documents.
• Maintain and log received trailing documents in Salesforce and All Loans File (ALF).
• Organize documents within the loan filing system.
• Prepare and record assignments of mortgage.
• Deliver loan packages and documentation to custodians.
• Upload loan information for secondary-market buyers and warehouse lenders.
• Review files for completeness and compliance with requirements.
• Collaborate with Loan Processing to resolve issues.
• Maintain professional communication with internal teams and partners.
• Identify opportunities to improve workflows and turnaround times.
• Utilize AI-assisted tools to improve efficiency.

Your Impact:

• Play a key role in ensuring loan files are completed with accuracy and efficiency, upholding compliance standards while enhancing client satisfaction
• Help drive the seamless completion of transactions while safeguarding the integrity and reputation of DFS’s lending operations

In This Role You Will:

• Track, review, and clear post-closing exceptions
• Contact title companies, attorneys, and other external partners to obtain outstanding trailing documents
• Maintain and log received trailing documents in Salesforce and save in All Loans File (ALF)
• Save and organize documents within the company’s loan filing system
• Prepare and record assignments of mortgage
• Deliver loan packages and required documentation to custodians
• Upload loan information and documentation for secondary-market buyers and warehouse lenders
• Review files for completeness and compliance with internal and external requirements
• Partner with the Loan Processing team to resolve documentation or compliance issues
• Maintain clear and professional communication with internal teams and external partners
• Identify opportunities to improve workflows, accuracy, and turnaround times
• Use company-provided technology, including AI-assisted tools, to improve efficiency and communication

Requirements:

• Two or more years of experience in mortgage operations, loan processing, closing, post-closing, title, loan servicing, banking operations, or a related field
• Familiarity with mortgage and real estate documentation
• Strong attention to detail and the ability to identify missing or inaccurate information
• Excellent organizational and follow-up skills
• Ability to manage multiple files, deadlines, and priorities
• Professional written and verbal communication skills
• Proficiency with Microsoft Office, particularly Outlook and Excel
• Experience with Salesforce or another loan or customer management system is preferred
• Willingness to learn new systems, processes, and AI-assisted tools
• Dependable, team-oriented, and comfortable working in a structured, process-driven environment
