In this role, you will manage mitigation projects, support project managers, and ensure smooth communication with all stakeholders. Candidates should have at least 2 years of experience in project coordination, with a preference for backgrounds in restoration, construction, or HVAC. The desirable candidate will have strong organizational skills and Power BI experience, contributing to impactful work that supports emergency responses and client needs.

Pay: $21.50 - $26.50 per hour

Job Description

• Coordinate mitigation projects from intake through completion to keep jobs moving smoothly and on schedule
• Support Project Managers and operations leadership with day-to-day administrative and project coordination tasks
• Maintain accurate job files, notes, documentation, work orders, and purchase orders
• Track schedules, appointments, workflow updates, and project milestones from start to finish
• Communicate clearly with customers regarding arrivals, scheduling changes, delays, and next steps
• Coordinate with vendors, insurance contacts, clients, and internal teams throughout the project lifecycle
• Assist with billing support, collections activity, deductibles, progress payments, and final payments as needed
• Prepare and update reports, dashboards, and operational tracking documents
• Answer inbound calls and respond quickly and professionally to client and vendor inquiries
• Help ensure the office and field teams stay aligned during fast-moving mitigation and emergency response work
• Represent the company with professionalism, urgency, empathy, and strong attention to detail

Qualifications

• 2+ years of project coordination, service coordination, office operations, dispatch, or administrative support experience
• Experience in mitigation, restoration, construction, plumbing, HVAC, or a similar field environment preferred
• Strong organizational skills and ability to manage multiple moving pieces at once
• Excellent written and verbal communication skills
• Comfortable working with job tracking systems, project documentation, and reporting tools
• Power BI experience required
• Strong attention to detail, reliability, and professionalism
• Associate's degree preferred; Bachelor's degree is a plus
