Responsibilities

  • Coordinate daily attendance and ensure accuracy per policy.
  • Serve as front desk contact; answer calls and emails from parents and staff.
  • Support student services and classroom/staff with forms and supplies.
  • Assist with office tasks and event coordination (e.g., dances, yearbooks).
  • Distribute and manage documents and maintain office records.
  • Support ASB-related ticket sales and office activities.

Summary of Position: The Middle School Receptionist is the primary point of contact for the middle school office. Key areas of responsibility include daily attendance accuracy and tracking, front desk and parent communication, general student support, campus parking coordination, and office and event support.Hours of Work: Full-Time Year Round, (6.5 hrs/day, 32 hours/wk) Monday – FridayPositions Classification: Non-ExemptReporting Relationship: Principal / Vice PrincipalDuties & Responsibilities:Attendance CoordinationTracks attendance according to the school's attendance policyEnsures the accuracy of attendance by periodRecord all attendance immediately on the day of the absence or tardyCreates and maintains a shared document tracking excessive absences and tardiesUpdates attendance records using tardy slipsCommunicates with the principal regarding any student with an extended absence (illness, injury, or unknown), providing the student's name, grade, and parent contact information so the principal can follow up directlyCommunication & Front Desk SupportAnswers calls and emails from parentsSends mass emails to students or parents on behalf of a teacher, administrator, or staff memberSends emails to faculty at the request of the administrationStudent SupportSupervises in-school suspensionsDistributes forms to students, teachers, and parents that cannot be found onlineCreates log entries for teachers, as neededCompletes help desk requests for teachers and administrationSupplies teachers with classroom supplies as neededOffice & Event SupportCreates certificates for teachers/coaches for school- or sports-related recognitionDistributes and sells yearbooksCreates spreadsheets for the office, administration, and teachersHelps coordinate ticket sales for dances, in support of ASBCollects locks at the end of the year and distributes locks at the beginning of the yearQualificationsHigh school diploma or equivalent required; some college coursework preferred.Prior office, receptionist, administrative assistant, school office, or customer service experience preferred.Ability to communicate clearly, calmly, and professionally with students, parents, faculty, staff, and administrators.Strong organizational skills and attention to detail, especially when managing attendance, records, forms, student information, and parent communication.Ability to maintain confidentiality regarding student records, family information, discipline matters, attendance, and other sensitive school information.Ability to manage multiple tasks in a busy school office environment while remaining calm, welcoming, and professional.Basic computer proficiency, including email, spreadsheets, document creation, data entry, and school information systems.Experience with PowerSchool or similar student information systems preferred.Ability to follow established school policies, attendance procedures, safety protocols, and administrative directions.Ability to exercise good judgment when assisting students, responding to parents, handling phone calls, and escalating concerns to administration.Dependable attendance and punctuality are required.Ability to work collaboratively with office staff, teachers, administrators, students, parents, and other departments.Personal QualificationsDemonstrate a strong passion to uphold the Vision, Mission, Statement of Faith, and Core Values of the school.Affirms that, as part of the qualifications for this position, he/she is a follower of Jesus who knows the Lord Jesus Christ as Savior.Supports an environment where the entire high school community – staff, students, and families – can grow in their relationship with Jesus Christ.Ability to follow the Matthew 18 Principle in dealing with leadership, faculty, administration, and parents.Attendance in a Bible-based church.Ability to move about the school building(s) and campus.
