Directly assists the Human Resource Manager with administrative and operational responsibilities. 2. Oversees the entire employee onboarding process. 3. Schedules, coordinates, and conducts employee orientations. 4. Processes and pays invoices for employee benefits, United Way, and other Leadership Team expenses. 5. Maintains staff memberships and related information in DAXKO. 6. Assists in preparing for employee meetings and attends meetings as required. 7. Coordinates annual schedules for Board of Directors and management meetings. Assists in preparing meeting materials and takes meeting minutes as required. 8. Uses discretion and independent judgment in handling confidential and sensitive information in connection with the Human Resource Manager’s responsibilities and assigned Executive staff responsibilities. 9. Regulates behavior based on assessment of the situation, personal feelings, strengths, and limitations. 10. Speaks in a clear, articulate, and professional manner. 11. Writes clearly and concisely, using correct grammar, vocabulary, and an appropriate tone for the message and audience. 12. Maintains highly confidential executive, Human Resources, and Board of Directors files and correspondence. 13. Manages staff business cards, stationery orders, office supplies, equipment, and other administrative resources for the corporate office, ensuring necessary materials and equipment are available, properly maintained, and operational. 14. Gathers data, compiles, and prepares national statistical reports and assigned strategic plan reports. 15. Maintains familiarity with Paycom or other Human Resources information systems and serves as a subject matter resource for staff requiring assistance with HR software and related processes.16. Assists the Human Resource Manager with applicant tracking, candidate information, and recruitment related activities through Paycom. 17. Provides administrative support to the Chief Executive Officer (CEO) and Chief Financial Officer (CFO) as needed. 18. Serves as the primary contact for Information Technology (IT) services and communications for the corporate office, coordinating requests, troubleshooting needs, and communicating with appropriate IT personnel or service providers. 19. Assists in planning, coordinating, and preparing for leadership training, employee development activities, and related meetings, including scheduling, communications, meeting materials, room arrangements, technology needs, and other administrative logistics. 20. Assists with the daily administrative operations of the Corporate Business Office, including mail distribution and processing, petty cash distribution and related documentation, file maintenance, and organization of corporate office records. 21. Monitors and maintains the Corporate Business Office break room, including stocking supplies and ensuring the area remains adequately supplied.QUALIFICATIONS: • Prefer related experience working as assistant to executives or administrators, preferably in a nonprofit setting. • Proficient in all standard business software. • Knowledgeable about office processes and procedures. • Ability to work with integrity, discretion and a professional approach. • Prefer knowledge of, and previous experience with, diverse populations (language, culture, race, physical ability, sexual orientation, etc.). • Strong written and verbal communication skills. • Emotional Maturity • Ability to speak any language in addition to English may be helpful. • CPR/AED/First Aid Certifications are required within 30 days of hire. • Current Driver’s License, Reliable Transportation, Current Automobile Insurance Coverage.
